About the Role
At SaverLife, we’re on a mission to help people build financial security. As our Executive Assistant, you’ll play a key role in helping our Executive Vice President (EVP) and President & CEO stay focused, organized, and effective. You’ll be the go-to person for scheduling, executive communications, and special project coordination. This role is perfect for someone who thrives behind the scenes, loves creating smooth processes, and enjoys juggling different tasks with grace and confidentiality.
You’ll help manage schedules, coordinate meetings, handle logistics, and keep things running smoothly. You’ll also be an approachable, reliable point of contact for our board, partners, and internal teams. SaverLife is open to both part-time and full-time candidates for this role. For the right full-time candidate, responsibilities may expand beyond executive and board support to include special projects and operational initiatives in partnership with the EVP/CEO and other members of the leadership team.
Responsibilities
Executive Support (40%)

Completes a wide variety of administrative tasks for the EVP and CEO, including managing and optimizing an active calendar of appointments, completing expense reports, composing and preparing correspondence, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for meetings.

Enables the EVP and CEO to operate efficiently by managing communications, surfacing key priorities, and providing timely, discreet reminders. Uses sound judgment to determine the appropriate course of action, referral, or response.

Acts as a liaison with staff, board members, donors, and external partners.

Coordinates meetings and off-sites, prepares materials in advance, takes notes, and ensures timely follow-up on action items.

Manage special projects sponsored by the CEO and/or EVP, especially those that are high-profile, cross-cutting initiatives.

Prioritizes conflicting needs; handles matters expeditiously and proactively; and follows through on projects to successful completion, often with deadline pressures.
Board Support and Liaison (10%)

Serves as the EVP and CEO's administrative liaison to the SaverLife board of directors

Coordinates the board preparation process, distributes board materials, and manages the board meeting calendar.

Prepares minutes of board meetings and supports other board engagements (e.g., committees), and ensures appropriate follow-up and approval are received.
Operational Support (25%)

Support operational tasks across HR, Finance, and InfoSecurity teams as they come up and as assigned (e.g., organizing org-wide policies, supporting system migration processes, and scheduling for multi-stakeholder meetings with internal organizational impact).
Strategic Initiatives (25%)

Supports the coordination and leads administrative tasks relating to high-priority org-wide initiatives (e.g., goal setting, website migrations, organizing donor records).

Proactively identifies opportunities to streamline executive workflows and amplify impact.

Supports the development of dashboards or briefing documents to support decision-making.

Supports the Executive team and development team members on select initiatives (e.g., building out new processes, organizing donor records, and sending donor acknowledgement letters).

Familiarity with project management tools (e.g., Asana) and collaboration tools (e.g. Slack) is a plus

Proficient in Microsoft Office or Google Workspace and related applications, Adobe Acrobat.

Experience with a CRM, like Salesforce, is a plus.
Experience

Bachelor's degree OR equivalent combination of education and experience required
-
Five to 10 years of experience supporting C-Level Executives, preferably in a
non-profit organization

Experience and interest in internal and external communications, partnership development, project management, and fundraising

SaverLife is a remote-first organization. We are ideally looking for a candidate who lives in the Washington, D.C. metropolitan area and is open to occasional travel as needed. This position is only open to candidates eligible to work in the U.S.

This is a part or full-time exempt position with an annual salary of between $35,000 for part-time and $70,000 for full-time.
