MISSION OF THE Operations Manager 

A successful Operations Manager will: Define and shape business requirements for projects, identify governance structure for projects, set up reporting chain/dashboard to manage against time and budget, and issues list and how to resolve them (using systems such as RAID: Risks, Assumptions, Issues, Decisions). 
 

Key Outcomes: 

IT Operations Project & Change Management: 50% 

  • Liaising with stakeholders such as project personnel, vendors, and end-users regarding project requirements, IT product releases, and rollouts.  

  • Coordinate with stakeholders to identify efficiencies, assess and mitigate risks for new IT projects. 

  • Implement IT project plans to ensure staff adoption is seamless, taking ownership of the timely execution of projects and manage budgets. 

Risk, Compliance and Documentation: 30% 

  • Document instructions for end-users and assist with the testing of the final product if necessary. 

  • Implementing document control policies and documentation templates. 

  • Compiling project reports and informing management regarding problems. 

IT Operations Vendor Management: 20% 

  • Manage MSSP and general operations technology vendors 

  • Managing IT tickets and liaising between staff and vendors 

Some projects you will be working on: 

  • Ensure data information and security systems and protocols are working. 

  • Keep business continuity plan updated and tested annually 

  •  IT Hardware & Software inventory management (supported by an MSP to execute hardware and software maintenance) 

  • Ensure technology is leveraged to maximize collaboration internally (i.e. MS products like OneDrive, SharePoint, Teams, Outlook, phone systems, cybersecurity platforms, etc.) 
    Identify new phone & Salesforce integration (SMS integration, better reporting, etc.). 

  • Keep track of projects around new technology, as well as identify gaps.  

  • Facilities management / office management  

  • Work with HR to ensure staff onboarding/offboarding is smooth and consistent across departments. 

  • Make sure overall IT change is met with comfort. 

Required Competencies and Qualifications-

  • Communication.  Strong verbal and written communication skills, including the ability to quickly produce high quality, professional‐looking written material. 

  • Organization. Ability to manage complex projects involving other staff, set priorities, manage multiple tasks, and meet time-sensitive deadlines; 

  • Attention to Detail. Strong attention to guidance and instruction, analytical ability, and ability to manage detail with bigger picture items;  

  • Strategic thinking/visioning.  Able to see and communicate the big picture in an inspiring way.  Determines opportunities and threats through comprehensive analysis of current and future trends; 

  • Efficiency.  Able to produce significant output with minimal wasted effort; and 

  • Flexibility/adaptability.  Adjusts quickly to changing priorities and conditions.  Copes effectively with complexity and change. 

 

  • Qualifications: 

  • Fluent in English 

  •  4+ years of experience in a project management role. (Ideally IT project management and change management experience). 

  • Well versed in Microsoft products (Outlook, SharePoint, etc.). 

  • Project management skills. SCRUM certification or similar (nice-to-have). 

  • Outstanding organizational and time management skills.
