The Boston Area Rape Crisis Center (BARCC) is seeking a full-time Administrative Assistant/Receptionist to join our mission-driven organization dedicated to ending sexual violence through healing and social change. This individual will perform a wide range of administrative duties in support of the Client Services Department and the Executive Director; will serve as the first point of contact for clients, visitors, and external stakeholders.
In addition to performing routine administrative functions, the Administrative Assistant/Receptionist will be responsible for ensuring all clients and visitors are welcomed into a warm and inviting environment. Will respond calmly, and with empathy and compassion to crisis situations and will direct clients to the appropriate individual or department for assistance. While triaging calls and walk-ins, the Administrative Assistant/Receptionist is expected to uphold the highest level of confidentiality of all sensitive information.
Essential Job Functions and Requirements:
Key Responsibilities
Welcome, all visitors, clients, and guests in a warm and friendly manner.
Responsible for triaging all walk-ins/incoming calls to determine the level of assistance needed; route to the appropriate individual or department.
Submit requests for services form if messages are left on mail voicemail line
Monitor BARCC's general email/voicemail and forward messages to the appropriate staff member.
Coordinate the Executive Director’s day-to-day schedule, determine which events/activities require their presence, schedule commitments to maximize productivity and efficiency, and ensure appropriate time to complete all tasks
Assist with logistics and agenda creation for various meetings, including board and leadership meetings.
Will coordinate virtual meetings, set up audio/visual and technology equipment, and provide catering and room setup as needed.
Receives deliveries; sorts and distributes incoming mail.
Provide logistical support in planning and organizing office training and events.
Ensures that the waiting area is maintained with relevant reading materials, including agency brochures and resourceful materials.
Monitor office supply needs and notify operations of any needs.
Assists with other administrative duties as requested
Qualifications
Bilingual capabilities a plus.
Minimum High school diploma or equivalent and experience in answering phones and customer service.
Mature judgment and a strong sense of responsibility and dedication.
Highly positive and enthusiastic style with excellent people skills
Motivated to learn and work in collaboration with others to continuously work towards excellence
Having the ability to be flexible
Must be organized and demonstrate attention to detail.
