Carondelet High School Attendance Coordinator
The Attendance Coordinator at Carondelet High School works in a team with the Deans under the supervision of the VP for Student life and mission. The Attendance Coordinator is responsible for communicating with students, families, faculty and administration about daily attendance and overall trends, provides health and initial first aid, collects and processes pertinent health information, and holds and administers approved medications to students. This individual also provides initial short-term intervention to students for acute social, emotional, or crisis events, providing a safe space and/or referral to the Wellness Department. This is done in a safe, confidential, non-judgmental, and supportive environment.
Essential Responsibilities

As the first point of contact for attendance, has strong interpersonal relationship skills and is able to deal with conflict and difficult people in a friendly and positive fashion.

Administrative Responsibilities
-
Greets and assists parents/guardians, students and visitors while responsible for answering phones, voicemail and email messages.
-
Maintains and ensures accurate daily student attendance and health records.
-
Acts as a liaison between students, parent guardians, and faculty and staff.
-
Provides the first point of care for student health and wellness. Responsible for initial care and referral to other departments and/or outside agencies.

Minor first aid injury care.
-
Students who present as ill in the attendance office.
-
Students who need a quiet, safe place to recover from anxiety and emotional distress.
-
Referring out acute student injuries needing greater care and/or parent contact

Administers the Reset Room.

Tracks student usage and follow protocols for student use of Reset Room
-
Communicates and collaborates with the Wellness Counselors and Academic and Learning Support about student use of the space.
-
Orders replacement materials for the space and keeps the area clean, orderly, and ready for use.

In partnership with the Director of Academics & Learning Support, oversees student medical leave and return to school protocols.
-
In partnership with the Director of Academics & Learning Support and Athletic Trainer(s), manages concussion protocol and return to school policy.
-
Regularly audits attendance and reports patterns to the Dean of Student Life, Student Support Intervention Team, and Athletics Department.

Follow up with parents/guardians and students within 24 hours for all absences.
-
Works closely with the Dean of Student Life in preparing a structure that communicates and mitigates excessive absences from school.
-
Notifies and updates faculty and staff of students participating in field trips, retreats, special activities, extended absences due to resume building outside activities, and athletic events.
-
Coordinates and receives all field trip forms and processes initial permission forms, verification of driver’s licenses, and insurance liability prior to sending it off to the Chief Financial Officer for final approval.

Inputs the appropriate absence codes into PowerSchool for field trips, retreats, and immersions.

Performs administrative and clerical assignments with minimal direction including but not limited to mailings (electronic and direct mail), mail merges, office organization, and materials management.

Maintain an organized and tidy workspace in the front office, staff workroom, and greeting area.

Attends weekly Student Life meetings and provides attendance trends to Student Support Intervention Team meetings. Serves as part of student support teams to address student attendance issues.

Maintains a “Lost and Found” area and item drop off area for parents that is cleaned out regularly; unclaimed items are donated if not retrieved after a 30 day period.

Orders, stores, and issues supplies and materials relevant to the functions of the Attendance Office.
Student Health and Welfare Responsibilities
-
Supervises and operates the infirmary and provides appropriate care to sick students
-
Keeps a detailed daily log of students in the infirmary in order to recognize any patterns or health related outbreaks
-
Administers minor first-aid care to students as needed and responds to emergency situations as needed
-
Informs parents of sick students and obtains permission for sick students to leave campus and return to school with possible medical release in place
-
Supervises student self-medication.

Inventories and organizes all infirmary supplies to ensure it is always appropriately stocked and that supply orders occur in a timely manner

Regularly checks expiration dates of student medications. If necessary, notifies parent guardians regarding expiration dates relative to medication

Communicates regularly with the Wellness Program Assistant to account for students in the Wellness Center.

Maintains immunization records, medication forms, and student allergies. Updates systems, and health files regularly.
-
In advance of the school year. Reviews incoming student physicals and immunization records for all required information and communicates with families to complete medical files.

Responsible for completing secondary insurance forms and if necessary incident reports for students injured on the Carondelet High School campus during the school day.

Refers students who need special care, or who have special issues, to appropriate school personnel.

Actively participates in school safety planning and annual safety updates.
Student Life Summer Assistant
-
Provides administrative support to the Vice Principal of Student LIfe and Mission during the summer to include but is not limited to preparation of beginning of the year PD and retreat, assisting Student Activities to reset and prepare for beginning of the year events.

Processes cumulative/educational files for incoming frosh and transfers and processing of cumulative/educational files for outgoing student transfers.

Assists the Director of Ed. Tech and Data Analysis with registrar duties as needed.

In conjunction with the Deans of Students ensures that there is an administrative presence on campus during summer when students are on campus.
Qualification Requirements

Full-Time, 11 month, exempt
-
Minimum of 2 years of college education and/or health education
-
Ability to apply common sense and understanding and to carry out instructions, furnished in written or oral form.

Ability to ascertain which people may need immediate assistance and to act accordingly

Strong written and verbal communication skills
-
Strong organizational and time management skills with the ability to prioritize
-
Strong problem-solving skills and analytical abilities
-
Proficient with maintaining electronic records and hardcopy paper files
-
CPR, First Aid & AED Certified. Qualified to teach these skills preferred.

Health care background highly valued

Proficient in Microsoft Office & Google Suite

Ability to get along with co-workers and other school community members
