Carondelet High School - Assistant to the President

 

Carondelet High School (About Us) is seeking a full-time Assistant to the President for the 2025–2026 school year. The Assistant to the President works directly with the President and serves as a trusted partner in advancing the mission of the school. This position provides high-level administrative, organizational, and operational support, helping to ensure the President’s office functions with efficiency, professionalism, and purpose.

The Assistant partners with departments across the school - including Development, the Business Office, Human Resources, and the Board of Trustees to align efforts with the President’s priorities, streamline communication, and ensure timely completion of key initiatives. This role requires a high degree of discretion, initiative, and organizational skill, as well as the ability to manage sensitive and confidential information with professionalism.

As a representative of the President’s Office, the Assistant will often be the first point of contact for internal and external stakeholders. This requires a warm, professional, and enthusiastic presence in building and maintaining positive relationships with faculty, staff, students, parents, alumnae, trustees, donors, and the greater community.

 

Essential Responsibilities

Administrative & Calendar Management

  • Provides organization, planning, travel arrangements, scheduling, and meeting management support for the President as needed. 

  • Anticipates and addresses scheduling conflicts to maximize efficiency.

  • Ensures the President is prepared for all meetings and events with necessary materials, background information, and briefing notes.

  • Collects and maintains inventory of office equipment and supplies and arranges for repair and maintenance of all office equipment.

Communication & Correspondence

  • Drafts, edits, and proofreads communications, including letters, memos, emails, and reports, on behalf of the President.

  • Screens and routes incoming calls, emails, and inquiries, ensuring timely and appropriate responses.

  • Represent the President’s Office with professionalism, integrity, and hospitality in all interactions.

  • Serves as the first point of contact for visitors entering the President’s Office and solves any questions/concerns they may have, providing exceptional service to faculty, staff, parents, students, alumnae, donors, board members, and community partners.

Board & Leadership Team Support

  • Assists in the preparation, distribution, and archiving of Governing Board and committee meeting materials.

  • Coordinates logistics for Board, committee, and Executive Leadership Team meetings, including agendas, scheduling, minutes, hospitality, and technology setup.

  • Tracks and follows up on action items from Board and leadership meetings as directed.

  • Attends Board meetings and takes minutes.

Process Oversight & Departmental Collaboration

  • Financial Aid Coordination: 

    • Partners with the CFO and Director of Enrollment and Engagement to coordinate the student financial aid process through FACTS, including application tracking, scheduling committee reviews, and ensuring timely communication of award decisions. 

    • Serves as the first point of contact for families applying for financial aid, and assists with the application process when necessary.

  • Human Resources Support: 

    • Collaborate with the Director of Human Resources during recruitment and hiring processes, including posting positions, scheduling interviews, preparing candidate materials, and coordinating onboarding. 

    • Provides administrative support for confidential HR matters, including employee investigations, scheduling meetings, and maintaining records.

  • Partnership with Development Office: 

    • Logs donations from donors as audit control. 

    • Reviews thank you letters before mailing.

Project & Event Coordination

  • Supports the President in managing special initiatives and schoolwide projects.

  • Coordinates events hosted by the President’s Office, including leadership retreats, donor gatherings, and mission-focused events.

  • Assists in planning and logistics for school ceremonies, celebrations, and strategic planning activities.

Confidentiality & Recordkeeping

  • Maintains confidentiality in all conversations, records, reports related to personnel, donor information, financial aid, and institutional matters.

  • Exercises discretion and upholds strict confidentiality in all aspects of the role.

Qualifications

Education & Experience

  • Bachelor’s degree preferred; associate degree or equivalent experience required.

  • Minimum of 3–5 years in executive administrative support, preferably in education, non-profit, or mission-driven organizations.

  • Experience working with senior leadership, boards, or executives.

  • Prior experience with financial aid administration and/or human resources processes preferred.

  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.

  • Excellent written and verbal communication skills.

  • High degree of professionalism, discretion, and confidentiality.

  • Commitment to the mission and values of Catholic education.
