Carondelet High School (About us) is looking for a full-time Office Manager for the 2025-2026 School Year. The Office Manager is part of the Academics Administrative team team which works to create an environment where all faculty, staff and students are provided the resources they need to succeed at Carondelet.
The Office Manager is also the first contact representative for the school to the community at large and as such, needs to maintain a positive, professional and enthusiastic attitude in dealing with the school’s various stakeholders.
Summary
The Office Manager plays a pivotal role in ensuring the seamless and efficient operation of all school administrative functions. This position oversees office management, substitute teacher administration, event logistics, project coordination, and security program management, while providing support for AP and College Board program administration and athletics logistics.
The Office Manager partners with all school departments to enhance efficiency, refine operational protocols, and implement best practices to optimize workflow. Additionally, they evaluate and strengthen the role of the front office team, ensuring they provide high-quality support across all school divisions.
This role serves as the primary point of contact during the summer months, ensuring continuity of school operations while other administrators may be on break. The manager also oversees the coordination of the academic summer program, collaborating with the Community Engagement Manager, who organizes ancillary programming.
As a member of the Senior Leadership Team (SLT), the Office Manager attends planning and strategic meetings, contributing insights on logistics, operations, security, and efficiency improvements.

The Office Manager plays a central role in supporting the smooth, day-to-day functioning of school operations. While this person works with the entire school community, their work is especially focused on supporting departments connected to student life and academics. Key areas of leadership include event logistics, front office coordination, and summer program planning, along with collaborative support for schoolwide initiatives.
The Office Manager directly supervises and works closely with two team members: the Front Office Assistant, who leads substitute coverage and front-desk operations, and the Makeup Testing Coordinator, who manages schoolwide makeup testing. Together, this team ensures that essential systems run smoothly, responsively, and in service to the student experience.
This role is ideal for someone who is highly organized, people-oriented, and enjoys working behind the scenes to support students, staff, and faculty in a mission-driven environment.

Maintain the school calendar and manage logistics for internal and external events.

Coordinate transportation, room bookings, and vendor logistics.

Serve as the primary point of contact for third-party rentals for the main campus and athletics complex.

Front Office & Administrative Oversight

Supervise and support the Front Office Assistant and Makeup Testing Coordinator, ensuring daily operations run efficiently and professionally.

Maintain a warm, welcoming front office environment and uphold excellent service standards for students, families, and staff.

Help manage school-wide communication, documentation, and administrative systems.

Provide backup support for substitute coverage, in coordination with the Front Office Assistant.

Ensure seamless coordination of makeup testing logistics through the Makeup Testing Coordinator, including space and communication support.

Summer Operations & Academic Program Support

Serve as the primary operational point of contact during the summer.

Oversee facilities access, vendor scheduling, and summer office needs.

Coordinate academic summer courses with faculty and logistics teams.

Collaborate with the Camp Director to align academic and auxiliary programming.

Qualifications
Required:
-
Bachelor’s degree or equivalent experience in office administration, logistics, or a related field

3–5 years of experience in school office or operations settings
-
Experience supervising or mentoring support staff

Excellent organization, time management, and communication skills
Comfortable with Google Workspace and digital scheduling tools -
Team-oriented, flexible, and solutions-focused
Preferred:

Background in education or mission-driven organizations

Familiarity with badging/safety platforms (e.g., Raptor)

Experience with events, scheduling, or multi-department coordination
Working Conditions
