ORGANIZATION SUMMARY:

Provides administrative support to CCAP case managers and team to ensure that administrative and program support needs for CCAP program are met in a timely and efficient manner. This includes supporting paperless functions for both programs.

RESPONSIBILITIES:

  • Send applications to families, early childhood programs, and the general public regarding Child Care Assistance Program
  • Answer incoming calls regarding Child Care Assistance from the public.
  • Transfer calls to Child Care Assistance Case Managers and other department within the agency
  • Update department phone messaging
  • Identify and Distribute incoming faxes to the staffs in Child Care Assistance Dept.
  • Assist in sending applications to family coming off the waitlist
  • Scan and upload documents to SharePoint
  • Review and look up information on scanned documents in county software systems
  • File documents into appropriate case files
  • File paid invoice into appropriate filing cabinet
  • Request for files in county software systems
  • Mail out letters (upon request)
  • Pull files for case manager (upon request)
  • Assist in a variety of duties, tasks, projects as assigned during high waitlist periods and/or increase in other child assistance program administration tasks.
  • Box up files to external contract vendors for retention
  • Help with incoming mail sorting
  • Print and make packet of CCAP forms as needed

Requirements:

  • AA degree in Early Childhood, Human Services OR
  • Equivalent combination of education and experience, with ability to demonstrate proficiency in the required functions of the job
  • 1 year experience in customer service (agency and community service knowledge, verbal, and written communication, listening skills, and problem resolution
  • Knowledge of child care assistance programs and policies, early child hood education options, licensing regulation, community resources and/or child development
  • Data privacy and security training
  • Working knowledge of basic MS Office programs (Outlook, Word, Excel)
  • Knowledge of public assistance computer systems

ADDITIONAL INFORMATION:

Work Schedule: The position is available immediately and will have a hybrid work schedule with a mix of on-stie and work from home days.  M-F 9am-5pm.

Estimated wage hiring range: $17.27 to $20.00 per hour
