Job Description – Staff Accountant

Summary Objective

The Staff Accountant (SA) functions as a business support person to the Finance Team as well as the and Financial Management Team. The position assists in effectively managing and controlling the business and is responsible for accounts receivable collections, reconciliations, assisting in month-end close and special projects as requested.   The position will be responsible for AIA Billing, contract management and insurance requests.  The SA also performs routine financial calculations and general ledger duties. The SA may also check the accuracy of calculations performed by other employees. The SA answers non-routine correspondence and assembles highly confidential and sensitive information, deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified work product.

Qualifications

  • Minimum of 5 years experience in an accounting role
  • Responsible for client billing, collections and correspondence including researching and solving payment discrepancies
  • Work with the Finance Department to implement and apply accounting policies and procedures as they are derived
  • Support the Finance team’s efforts for implementing and maintaining internal controls for operations and finance
  • Aide in the development of Standard Operating Procedures
  • Aide in the development of budgets and forecasts
  • Perform cost analysis to support management & the Finance Department.
  • Accuracy and attention to detail is very important
  • Excellent organizational and follow-up skills; ability to multi-task
  • Ability to meet deadlines, handle various projects simultaneously, work effectively in a demanding environment, and be willing to go the extra mile
  • Excellent computer skills (MS Office/Excel/Outlook/Adobe Acrobat Pro)
  • Strong interpersonal, written and oral communication skills
  • Willingness to learn and take on projects
  • Team player with ability to interface with all levels of management
  • Bachelor’s degree preferred
  • Experience in the construction industry is a plus

 

Job Responsibilities (essential functions)

  • Operates accounting software to record, store and analyze information
  • Checks figures, postings and documents for correct entry, mathematical accuracy and proper codes
  • Classifies, records and summarizes numerical and financial data to compile and keep financial records, using journals and ledgers or computers. Debits, credits and totals accounts in computer spreadsheets and databases, using specialized accounting software
  • A/R billing (AIA), collections and credit analysis
  • Insurance request processing
  • Accountable for creating AIA invoices, issuing them to customers by all necessary means and updating customer files
  • Assist with job cost analysis and contract administration
  • Reconciles and reports discrepancies found in records
  • Provides support to corporate officers and staff in a professional and organized manner
  • Research special projects as assigned
  • Develop and produce reports as assigned
  • Creation and modification of schedules and information using Excel
  • Maintain spreadsheets and databases
  • Prepare weekly reports for management
  • Maintain filing system
  • Other responsibilities as assigned
