ORGANIZATION: Planned Parenthood Texas Votes (PPTV) is the statewide advocacy and political arm of the Planned Parenthood affiliates in Texas, referred to as “local Planned Parenthood organizations.” Planned Parenthood Texas Votes works to foster and preserve a social and political climate in Texas favorable to full reproductive health care access, through legislative advocacy, grassroots organizing, and electoral activity, to promote and protect the mission of local Planned Parenthood organizations in Texas. 

The work at PPTV is fast-paced and deals with complex and high-priority matters related to the public policies and politics of reproductive health in Texas. Our programs range from talking to voters about abortion access to advocating at the state legislature, organizing advocates to rally in support of reproductive rights, and training the next generation of movement leaders. We imagine a world where having a uterus is not a pre-existing condition; where people can love who they love, be who they are, and find the care they need when they need it. 

PPTV’s theory of change focuses on engaging and empowering young women, women of color and LGBTQ folks. These demographics represent the majority of Planned Parenthood patients, a significant proportion of Texas’ changing population, those particularly impacted by attacks on reproductive health and rights, and who are also the least engaged and represented in elections, government and politics.


GENERAL DESCRIPTION

PPTV is hiring an Operations Manager that will work for Planned Parenthood Texas Votes 501(c)(4), Planned Parenthood Advocates of Texas 501(c)(3), and PPTV Political Action Committee (PAC).


The Operations Manager will manage the operations and administrative needs of the office for each statewide organization. The ideal candidate for this position will have the ability to organize, coordinate, and manage multiple tasks and responsibilities, with very high attention to detail and a high level of diplomacy and interpersonal skills. 


The position reports to the Executive Director - Finance and Operations and may supervise up to  two employees and assist in managing contractor relationships.


PRIMARY RESPONSIBILITIES:

This is a manager-level role. In this position, you will have the opportunity to:


  • Ensure legal compliance and risk mitigation, including insurance procurement, contracts, leases, legal documentation, etc.

  • Track the annual organizational budget and provide related administrative support including liaising with appropriate vendors for the annual financial audits, contract and billing administration, and filing of annual taxes.

  • On a day-to-day basis, complete data entry, collect transactions, pay invoices, track debits and maintain and monitor financial records. 

  • Manage banking for statewide organizations including a 501(c)3, a 501(c4), and PAC.

  • Monitor day-to-day operational systems and processes that provide visibility into goals, progress, and obstacles for our key initiatives.

  • Serve as liaison with the professional employment organization that manages the HR functions for the organization, including ensuring compliance with deadlines and data entry for employee onboarding and offboarding.

  • Ensure statewide staff needs for the virtual workplace are met and the team has the tools they need to be successful.

  • Supervise, train and develop interns or volunteers


HUMAN RESOURCES


  • Creating a recruitment plan and calendar according to operation and sales projections

  • Track employment applications, manage the publication of job postings, and assist with project managing the hiring process.

  • Generating official internal documents such as offer letters, appointment letters, salary and warning letters

  • Creating onboarding plans and educating newly hired employees on HR policies, internal procedures and regulations

  • Coordinate timesheet collection process and the performance review process.

  • Coordinate staff appreciation events, birthdays, and work anniversaries.

  • Maintaining physical and digital files for employees and their documents, benefits and attendance records

  • Creating employee engagement plans, getting necessary budget approval and initiating activities

  • Coordinate staff appreciation events, staff retreats, birthdays, and work anniversaries.

  • Collaborating with outside vendors, upper management and employees to maintain CSR standards conscripted by authorities

  • Managing the employee performance process and advising the Executive Team 

  • Advise the Executive Team as to disciplinary action to be taken when/if employees violate organization policies and addressing employee grievances



BOARD ENGAGEMENT

  • Facilitate logistical components of board and committee meetings including scheduling, facilities, agendas, record keeping, and transcribing minutes.


STAFF MANAGEMENT 

  • Provide support, coaching for Operations & Development Coordinator(s).

  • Conduct regular performance reviews, provide accountability and support for Operations Coordinator, and ensure their continued growth and professional development.

  • Address staff issues, and anticipate and resolve problems. 

  • Support directors and staff in event planning.


EXPERIENCE AND EDUCATION 

  • At least two (2) years of professional executive support or administrative experience, preferably in political or social issues setting.

  • Strong project management skills, including the ability to manage and track multiple projects at once.

  • Ability to independently make decisions in the best interest of the organizations.

  • Knowledge of multiple operational functions and principles, including development, finance, accounting, contract management, and employee management.

  • Ability to streamline and implement new structures and roles that create speed, efficiency, and support rapidly shifting business demands.

  • Proficiency with fundraising databases or CRM systems required, preferably EveryAction/NGP.

  • Proficiency with accounting databases required, preferably Quickbooks Online.

  • Comfortable with, knowledgeable of and enthusiastic about discussing topics related to sexual and reproductive health, politics and public policy.

  • Willing and able to work a flexible schedule, including evenings and weekends.

  • Experience working with a diverse workforce and with/for communities of color.


SALARY + BENEFITS

This position is full-time with a salary range of $60,000 - $65,000 annually. PPTV is proud to offer a competitive benefits package for full-time employees that includes 100% employer-paid medical, dental and vision coverage effective the first day of employment, life and AD&D and short-term and long-term disability for the employee. We also offer optional flexible spending accounts and additional life coverage. Full-time employees receive 18 paid holidays, inclusive of a winter break, accrue 14 days paid time off (vacation and sick time) in their first year of employment, bereavement leave, jury duty pay, professional development opportunities, and the option to participate in a 401(k) retirement plan.
