About the Opportunity

Hot Bread Kitchen seeks a full-time, mission-driven, and self-starting Institutional Partnerships Coordinator to support the organization in raising $8M+ annually. You will be part of a high-performing, seven-person Development team, led by our Chief Strategy & Advancement Officer. Qualified applicants will be excellent writers, clear communicators, have strong project management skills, and enjoy working in a fast-paced, impact-driven environment. This role will report to the Institutional Partnerships Manager.

 

Specific duties include, but are not limited to:

 

Fundraising 

  • Serve as the primary writer for all grant proposals and reports for an institutional fundraising portfolio of $6M+ annually. Work closely with the Institutional Partnerships Manager to craft new narratives and meet funder interests, while meeting the needs of the organization. 

  • Manage a portfolio of institutional funders (foundations, corporate foundations, corporations, and government) who contribute $50,000 and under annually, with the opportunity to grow this portfolio over time. Build and maintain relationships with funders, and serve as the key contact for them to engage with Hot Bread Kitchen.

  • Manage grants calendar and ensure deadlines are met. Handle grant submission process and prepare all necessary attachments, working closely with the finance and program teams when needed to create budgets and compile program data.

  • Create fundraising collateral including one pagers, fact sheets, appeals, talking points for meetings and site visits, and stewardship communications.

  • Complete prospecting research on foundation, corporate, and government grant opportunities, and report out to the institutional fundraising team on recommended next steps to pursue.

 

Data and Grant Management

  • Lead grant management processes, including collaborating with the Development Associate to ensure the team updates all grant records in Salesforce, manages grant contracts, and tracks grant deliverables and reporting requirements. Collaborate closely with program and finance teams to ensure all grants are used in accordance with funding allocations and program deliverables set out in grant agreements.

  • Manage and maintain donor and prospect records in Salesforce in collaboration with the Development Associate. Generate reports and campaigns in Salesforce to use for mailings and events, and to report on fundraising data to wider team and leadership. 

  • Communicate regularly with program, evaluation, and brand teams to keep up-to-date on all program happenings and data updates; ensure that program deliverables and goals are jointly communicated across teams.

 

Cultivation & Fundraising Events

  • Create meeting plans and lead preparation for site visits on institutional team; take thorough notes during meetings and site visits, log details in Salesforce, and draft follow up emails for the team. 

  • Work with Institutional Partnerships Manager to lead coordination and execution of mock interviews and other volunteer events throughout the year, working closely with key funders and programs team to plan these events.

  • Assist in planning, coordination, and execution of other Development events as needed.

 

Preferred Skills and Experience

  • Passion for and commitment to Hot Bread Kitchen’s mission and core programs.

  • Interest in learning and growing within nonprofit fundraising.

  • Must have 1 - 2 years of experience writing grant proposals and reports.

  • 1 - 2 years of front-facing institutional fundraising experience is preferred.

  • Exceptional written and verbal communications.

  • Strong organization, project management skills, and attention to detail.

  • Experience in Salesforce or other fundraising-focused CRMs and Asana (or other project management software) is preferred.

  • Self-motivated problem solver with the ability to handle and prioritize multiple projects, meet deadlines, work both independently and with staff at all levels, and be a team player.

  • Bachelor’s Degree is required.

Location

This is a hybrid position, with flexibility to work virtually. In-person attendance is required when departmental needs arise (weekly). Our facility is located in Chelsea Market, 75 Ninth Avenue, in Manhattan.

Compensation

This is a full-time position with a salary range between $60,000 - $70,000. Hot Bread Kitchen's comprehensive benefits package includes health/vision/dental insurance (eligible from day one), 401K contributions, paid office closure days  (including holidays, and staff appreciation days, and a one week holiday break at the end of the year), flexible and generous vacation and sick time, paid parental leave, and a sabbatical program (after 5 years of service).
