Our upskilling programs enable incumbent workers to gain further skills, leading to higher wages and career advancement. We work diligently alongside our network of over 200 food employer partners and more than 250 nonprofit and government partners to ensure our graduates are set up for success both at home and in their careers.
About the Opportunity
Hot Bread Kitchen seeks a full-time, mission-driven Development Operations Coordinator. You will be part of a high-performing development team responsible for Hot Bread Kitchen’s $12+ million philanthropic revenue. The Development Operations Coordinator supports the entire nine-person development team and enables front-facing fundraisers to excel. The successful candidate will be data-driven, organized, analytical, and a detail-oriented problem solver. This role will report to the Senior Director, Institutions and Development Operations.
General Responsibilities
The Development Operations Coordinator is responsible for managing development operations, data management, and administrative work to support the entire development team.
Development Operations and Salesforce

Serve as the development team’s lead on Salesforce databases, developing knowledge and expertise in these applications through ongoing learning provided through application-based trainings and Hot Bread Kitchen’s internal resources.

Continuously train and learn Salesforce best practices that can be applied to optimize Hot Bread Kitchen’s development operations.

Troubleshoot, problem-solve, and design best practices for Salesforce and other integrated applications (like Mailchimp, Apsona, and GiveLively) to enhance development team efficiency. Codify approved practices, create how-to reference docs, and onboard other team members to use new systems.

Input and manage all development team data records in Salesforce, including funder accounts, contacts, donations, campaigns, and more. Complete regular data cleaning to ensure records are up-to-date, complete, and non-duplicated.

Process all donations and manage donor acknowledgements and invoices.

Participate in development operations meetings to ensure team alignment across recent gifts, acknowledgements, invoices, and other development operations processes.

Provide weekly and monthly fundraising data updates to team members across the organization.

Collaborate with the finance team, in partnership with Sr. Director, to reconcile fundraising data and report out on progress to finance.

Generate data analytics for development leadership to guide fundraising strategy. Analytics include summaries of to-date and past giving trends, donor engagement histories, giving campaign results, and more

Collaborate with development and brand teams to regularly review and project manage Hot Bread Kitchen’s annual donor communications and audience management plan.

Manage Development’s Google Drive with an eye toward efficient, easy to use organization systems.
Development Support across team

Manage calendar of the Chief Strategy and Advancement Officer, as needed. Manage development team calendar and ensure all internal and external meetings are tracked and noted among development team members.

Manage development inbox, and support inbox management for the Chief Strategy and Advancement Officer.

As needed, oversee donor site visit logistics, including coordinating team calendars and member speakers, developing runs-of-show and other site visit materials.

As needed, support fundraising efforts as they arise. Flexibility and willingness to learn new functions will be key to the success of this role. Other efforts may include:

Drafting emails and appeals for development leadership.

Completing prospect and donor research, including backgrounders and lookbooks.

Creating meeting briefs and talking points for internal and external meetings.

Assisting with and carrying out execution of fundraising events, including creation of guest lists, managing RSVP’s, and tracking sponsorship deliverables.

Supporting development team events day-of.

Other project management, operations, and administrative duties.

Location
This is a hybrid position, with flexibility to work remotely. Regular in-person attendance is required when departmental needs arise. We anticipate being in office 2-3 days per week. Our facility is located in Chelsea Market, 75 Ninth Avenue, in Manhattan.
Compensation
This is a full-time position with a salary range between $60,000 - $70,000. Hot Bread Kitchen's comprehensive benefits package includes health/vision/dental insurance (eligible from day one), 401K contributions, paid office closure days (including holidays, and staff appreciation days, and a one week holiday break at the end of the year), flexible and generous vacation and sick time, paid parental leave, and a sabbatical program (after 5 years of service).
