Since 2008, Hot Bread Kitchen has empowered New Yorkers who face barriers to economic opportunities through transformative careers in New York City’s food industry. We offer small business development programs, culinary skills training, and job placement, bolstered by individualized, wraparound supportive services. Our small business program, HBK Incubates, supports entrepreneurs as they transform their food businesses into sustainable income sources. Culinary Fundamentals, our award-winning culinary training program, provides access to high-quality jobs for those starting their careers in the food industry. Our upskilling programs enable incumbent workers to gain further skills, leading to higher wages and career advancement. We work diligently alongside our network of over 200 food employer partners and more than 250 nonprofit and government partners to ensure our graduates are set up for success both at home and in their careers.
New New Yorkers is one of our Culinary Fundamentals programs that provides hands-on instruction on basic culinary and baking techniques, food safety, and other kitchen fundamentals, specially tailored to the needs of newly arrived, Spanish-speaking New Yorkers authorized to work. Bilingual instructors and support staff will provide instruction in English and Spanish.
THE OPPORTUNITY
Hot Bread Kitchen seeks a mission-driven, detail-oriented, and organized Program Coordinator. The main focus of this position is to support our New New Yorkers program; however, it may also involve providing coverage and assistance for other programs as needed. The Program Coordinator is responsible for data input and clean up, scheduling interviews and intakes, and coordinating and supporting crucial program activities. This position will work closely with a team of instructors, case managers, and job placement coordinators and report directly to the Bilingual Program Manager.
GENERAL RESPONSIBILITIES
Culinary Program Interviews and Assessments:

Conduct pre-screening assessments to determine whether applicants meet the basic eligibility requirements of the program.

Coordinate interview processes, including:
-
Conduct member outreach and schedule all culinary kitchen interviews.
-
Schedule follow-up interviews, communicate with accepted and rejected applicants, and manage waitlists.

Coordinate staffing plans and logistics for kitchen interviews.
-
Provide on-site assistance for interview weeks.
-
Maintain accurate data in Salesforce and Google Sheets.

Enrollments and Participation:

Support the coordination and project management of all Registration Days, including:

Notify accepted members about Registration Day activities and required documents.

Collect and record proof of required documentation for program participation.

Administer intakes and waivers, ensuring 100% completion.

Manage the collection and input of member stipend information.

Training Support:
-
Create and update program documents (ex., attendance sheets, sign-in sheets, etc.).

Administer and monitor responses to program surveys.

Assist with training-related activities, as needed.

Coordinate communications and logistics for the Food Protection course, exam, and card distribution and retakes.

Translate training and outreach materials into Spanish, as requested.

Perform inventory management and maintain communication with instructors and kitchen assistants to ensure all necessary materials, supplies, and curriculum handouts are available for workshops and classes.

Provide logistical support for the program, including but not limited to ordering of supplies, reservation of spaces, and mock interview coordination.
Data Management:

Prompt and highly organized data tracking is key to the success of this position. This includes the real-time collection and inputting of data into Salesforce and other internal tracking documents, including interview results, program status, survey results, and other critical information.
QUALIFICATIONS

1 year of work experience, particularly in project management/administration or direct services.

A working understanding of the immigrant population and their barriers to entry into the workforce.

General computer proficiency in Microsoft Office, Google platforms, and productivity software; familiarity with client relationship management (CRM) databases, like Salesforce, is a plus.

Afternoon and evening availability is required.

Fluency in English and Spanish is required.

LOCATION
This position requires in-person presence 5 days a week at our Outpost locations throughout NYC and Chelsea Market. This role requires working from 12 pm to 8 pm, Monday to Friday.
COMPENSATION
This is a full-time position. The salary range is $60,000-$64,350, commensurate with experience. This position is non-exempt and eligible for overtime pay. Work hours are tracked, and overtime is compensated accordingly.
