NYC Outward Bound Schools transforms schools and changes lives by bringing our educational approach to NYC’s young people and their public schools, with a focus on students from educationally underserved communities. Our educational approach joins together demanding and engaging learning, community, and character in ways that lead to high achievement for all. 

 

We operate a citywide network of public schools in partnership with the NYC Department of Education that fully embody our educational approach. Our Network Schools use the national EL Education model, which is rooted in Outward Bound, and also feature intensive supports around college access and preparation, as well as leadership and character-building programming for students. We also bring our approach and our most effective and replicable practices to a growing number of public schools and youth-serving organizations outside of our network through our Adventure & Team Building programs and our Select Strategies professional learning services.

Summary

 

The Temporary Office Assistant will serve as the primary point of contact for all office matters and fulfill general administrative duties as assigned. Reporting directly to the Chief Operations Officer, this individual will serve as central support across the entire organization.  This role is temporary and anticipated to operate for one (1) month with possible extension.

 

 

Essential Functions

  • Direct calls to the appropriate staff; monitor building access.
  • Handle all mailroom functions - sort and deliver mail, order postage, process outgoing mail, receive deliveries from USPS, FedEx, UPS and messengers
  • Maintain Salesforce system and update contact lists
  • Manage Google calendar room reservations for 2nd floor tenants: Vibrant Health and Adolescent Skills
  • Order and maintain office supplies inventory; process invoices/receipts for check payment (Amazon, Staples, catering etc.)
  • Assemble and mail Board packets for Board meetings; tracking RSVPs via follow-up emails and phone calls to Board members and/or their assistants; coordinate with Board member’s assistant in preparation for the Board meeting
  • Assist with logistics for All Staff Meetings, Thanksgiving celebration (catering food, office supplies/materials, tracking RSVPs) and collaborate on the Outward Post Newsletter
  • Assemble marketing packets for Advancement team
  • Provide medical form data entry support and customer service to prospective clients for Program Services team
  • Assist IT department with troubleshooting copier, postage machine and telephone malfunctions, liaise with vendor/account managers and call for repairs and preventative maintenance for this equipment; assist IT with tracking equipment loans
  • Process cash and checks; Enter data into accounting system for Finance department
  • Provide logistical and administrative assistance for Expeditionary Learning and other affiliated programs special projects
  • Serve as liaison for non-NYCOBS building tenants, mail carrier, housekeeping, Outward Bound USA, vendors, and caterers

 

 

 

Minimum Qualifications-

  • Associate's Degree or significant relative experience, Bachelor's Degree preferred
  • Previous administration experience
  • Proficient in MS Office and Google apps
  • Strong organizational skills and attention to detail
  • Excellent written and verbal skills, including strong editing and proofreading skills
  • Ability to work well with others and be extremely flexible and professional
  • Ability to coordinate tasks and deadlines across multiple departments

  • Ability to work independently, prioritize, plan, and multi-task in a fast-paced environment
