RESPONSIBLE TO: Director of Marketing
JOB SUMMARY: The Event Manager is responsible for planning, organizing, and executing various events to raise funds, increase awareness, and support our mission of providing essential services and support to foster children and families. This role requires a dynamic and highly skilled senior event manager with strong organizational skills, attention to detail, and the ability to collaborate with diverse stakeholders. The ideal team member will be skilled at delivering unforgettable experiences for our high-profile clientele, including celebrities and VIPs. We are NOT looking for wedding planers for this role but rather someone with corporate meeting experience planning multiple day meetings and high-end luxury events.
KEY PERFORMANCE INDICATORS:
- Attendance and Engagement: Measure the success of events by tracking attendee numbers, participant satisfaction surveys, and engagement metrics, such as social media reach, website traffic, and media coverage.
- Event Execution: Assess the effectiveness of event planning and execution through post-event evaluations, including feedback from stakeholders, volunteers, and attendees. Monitor the adherence to timelines, budgets, and event logistics.
- Volunteer Management: Evaluate the recruitment, training, and supervision of event volunteers by monitoring their performance, satisfaction, and retention rates. Measure the number of volunteers engaged and their overall contribution to event success.
- Stakeholder Satisfaction: Gauge the satisfaction levels of sponsors, donors, partners, and other stakeholders through surveys and feedback mechanisms. Measure their ongoing engagement and the development of long-term relationships.
- Cost Efficiency: Monitor event budgets and expenses to ensure effective cost management, aiming for optimal financial performance and maximizing the impact of funds raised for foster care initiatives.
- Team Collaboration: Evaluate the ability to collaborate effectively with internal teams, external partners, and volunteers. Measure the level of cooperation, communication, and coordination to ensure smooth event operations.
- Compliance and Risk Management: Ensure compliance with all legal, regulatory, and ethical standards related to event management. Monitor risk factors and implement appropriate measures to mitigate potential risks associated with events.
- Professional Development: Continuously pursue professional development opportunities to enhance event management skills, stay updated on industry trends, and contribute innovative ideas to improve event strategies and execution.
These KPIs will help assess the Event Manager's performance, ensuring the successful planning, execution, and impact of events in support of the organization's foster care initiatives.

RESPONSIBILITIES INCLUDE:
- Oversee the planning, coordination, and execution of high-profile events from conception to completion.
- Ensure all aspects of events align with client expectations and company standards.
- Build and maintain strong relationships with high-profile clients, understanding their unique preferences and requirements.
- Act as the main point of contact for events, providing impeccable customer service and ensuring client satisfaction.
- Recruit, train, and supervise event volunteers, ensuring a smooth and successful event execution.
- Foster a collaborative and positive work environment.
- Demonstrate meticulous attention to detail in all aspects of event planning and execution.
- Anticipate and address potential challenges proactively.
- Oversee the development and implementation of event marketing and promotional materials, both online and offline.
- Plan, document and track all event details in project management software.
- Coordinate event logistics, including event timelines, guest lists, invitations, RSVPs, and registration processes.
- Coordinate with the communications team to ensure consistent messaging and branding throughout all event materials.
- Maintain event databases, records, and documentation, ensuring accurate and up-to-date information.
- Coordinate post-event evaluations, including collecting feedback, analyzing event success, and making recommendations for improvement.
- Source and negotiate contracts with vendors, catering services, audiovisual equipment, and other necessary resources ensuring cost-effectiveness without compromising quality.
- Build and maintain relationships with key industry partners.
- Develop and manage event budgets, ensuring financial goals are met.
- Collaborate with vendors, contractors, and event service providers to negotiate contracts, obtain necessary permits, and ensure compliance with regulations.
- Stay updated on industry trends, emerging technologies, and best practices in event management.

YOU MUST HAVE
- Bachelor's Degree: A degree in Event Management, Hospitality, Marketing, Communications, Business Administration, or a related field.
- Relevant Certifications such as Certified Meeting Professional (CMP) or Certified Special Events Professional (CSEP)
- Minimum of five years of proven experience in planning and executing successful events, preferably within a non-profit or fundraising setting.
- Strong project management skills, including the ability to manage multiple events simultaneously, meet deadlines, and work under pressure.
- Excellent communication and interpersonal skills, with the ability to build relationships with donors, sponsors, volunteers, and other stakeholders.
- Proficiency in event management software, online registration platforms, and MS Office Suite.
- Strong budgeting and financial management skills.
- Ability to work flexible hours, including evenings and weekends, as required by event schedules.
- Knowledge of foster care issues and the non-profit sector is a plus.
