Salary Range: $65,000 to $80,000

 

The Quad Preparatory School is seeking a dedicated and experienced HR Manager to join our team. The Quad Preparatory School seeks an individual hungry for knowledge, eager to grow in a dynamic environment, and support our staff in delivering on its mission.

Through the collective, collaborative, and empathic work of our teachers and clinicians, we are empowering our students to engage with the exciting and wonderful diversity of this world. A team of dedicated nonprofit administrative staff supports the work of our academic and clinical team.

Responsibilities

HR Operations:

  • Implement HR strategies and initiatives aligned with the overall mission and goals of the school.

  • Oversee all aspects of the employee lifecycle, from recruitment and onboarding to performance management, staff retention, and offboarding.

  • Manage the recruitment process, including creating job descriptions, posting job ads, screening resumes, supervising screening teams, supporting hiring teams across divisions.

  • Working to ensure diverse candidate pools.

Support the Re-contracting Process:

  • Create and maintain salary banding documents for all positions within the organization.

  • Assist in developing salary structures and guidelines for re-contracting existing staff.

  • Collaborate with division leadership and supervisory staff to gather necessary information for re-contracting decisions.

  • Generate, distribute through DocuSign, and track contracts for returning staff.

  • Take ownership of deferred salary factoring and administration.

Departmental Banding Reports:

  • Generate and analyze departmental banding reports to inform new staff salary placement.

  • Provide insights and recommendations to recommend equitable and competitive salary offers.

  • Work closely with hiring managers to align salary proposals with budgetary constraints and organizational goals.

Documentation and Compliance:

  • Maintain accurate records (including year over year) of salary banding documents and re-contracting decisions.

  • Ensure compliance with all relevant laws and regulations related to salary, compensation, and re-contracting processes.

  • Generate data to complete annual reporting to NYS BEDS and NYSAIS.

Communication and Training:

  • Communicate salary banding policies and procedures to relevant stakeholders.

  • Provide training and support to supervisors and hiring managers on banding techniques and salary negotiation best practices.Suggest and maintain performance review and recruitment calendars.

  • Support supervisory staff in defining career development pathways at Quad Prep. 

Onboarding

  • Partner with and oversee PEO to ensure compliance with all employment laws and regulations, including maintaining employee records and handling confidential information.

  • Coordinate and conduct employee orientation and onboarding.

  • Collaborate with PEO to manage benefits administration, including enrollment, changes, and employee inquiries.

Compensation and Payroll

  • Oversee payroll processes and work closely with the staff, PEO, and finance team to ensure accurate and timely payroll processing and accounting.

  • Oversee leave administration.

Employee Relations and Policies

  • Handle employee relations, including conflict resolution, investigations, disciplinary actions, and grievance procedures.

  • Maintain and update HR policies and procedures in accordance with best practices and legal requirements. Lead annual review of Handbook.

  • Promote a positive and inclusive work environment through effective communication and engagement initiatives. Partner with the Communications team to keep staff updated on important HR issues.

Compliance and Reporting:

  • Ensure compliance with all relevant federal, state, and local employment laws and regulations.

  • Prepare and submit reports on HR metrics and key performance indicators to leadership.

Required Qualifications

  • Bachelor's degree; Master's degree preferred.

  • HR Professional certification/SHRM-CP or SHRM-SCP certification is highly desired, senior preferred.

  • HR experience, with at least 2 years in a managerial or supervisory role.

  • Knowledge of employment laws and regulations, particularly in the education sector.

  • Experience administering leaves.

  • Experience with HRIS systems, payroll processing, and benefits administration.

  • Excellent communication and interpersonal skills, with the ability to interact effectively with staff at all levels.

  • Strong organizational skills and attention to detail.

  • Ability to handle sensitive and confidential information with discretion.

  • Commitment to diversity, equity, and inclusion in the workplace.
