Title: Development and Communications Assistant

Status: Hourly, non-exempt 

Salary Range: $52k to $60k

 

The Development and Communications Assistant is responsible for providing support to the Chief Advancement and Communications Officer. They assist in the daily operations of the Development and Communications Department, perform administrative duties, and handle a wide range of matters in support of the department’s short- and long-term goals. This position requires strong organization skills, excellent written and oral communication, a high level of attention to detail, and an ability to prioritize and navigate nuanced communications and responsibilities.

 

RESPONSIBILITIES:

Advancement and Communications Office

  • Acts as the Chief Advancement and Communications Officer’s liaison and representative in communications with colleagues and constituents.

  • Reviews correspondence (letters, emails, messages) and drafts responses as appropriate, or liaises with the appropriate person for response and/or reply. 

  • Oversees calendar and schedule for Chief Advancement and Communications Officer. Facilitates prioritization of key initiatives, goals, objectives, and meetings. Schedules, maintains, and confirms appointments and calendar activities.

  • Coordinates meeting agendas and notes, meeting technology, pre-meeting briefings (as appropriate), and memos/notes outlining follow-up actions in a timely manner. 

  • Responsible for managing, organizing, and archiving documents, meeting notes, and materials.

  • Assists in developing reports, presentations, publications, and materials. 

  • Conducts research; prepares analytic metrics.

  • Responsible for administrative elements of department projects and processes. 

  • Oversees special projects in support of department goals and priorities.

  • Serves as discrete and trustworthy steward of confidential information.

 

Development

  • Enter donor and gift information into development software with a high level of attention to detail and accuracy.

  • Maintain and update development database, spreadsheets, and reports.

  • Send and coordinate donor and other funder letters and acknowledgements. 

  • Customize donor outreach, prepare donor lists and schedule print and digital mailings. 

  • Participate in development research and reporting.

  • Compile donor lists and analytics for Annual Report; help prepare Annual Report materials.

  • Assist in development campaigns and preparations.

  • Assist with event organization and preparations, including materials and resources for the annual gala. 

  • Communicate with finance department to track donations and expenses.

 

Communications

  • Liaise with colleagues within and across departments to source and coordinate information for upcoming communications.

  • Draft communications, including emails and RSVP forms.

  • Customize emails and communications templates for various audiences and constituencies.

  • Create, monitor, and maintain email distribution lists for internal and external constituencies.

  • Exercise a high degree of precision and attention to detail in scheduling and disseminating email and other communications.

  • Maintain updated resources in parent- and staff-facing communications portal.

  • Assist with the design and layout of emails, reports, and other communications collateral.

  • Perform research as assigned to assist with communications and marketing initiatives.

  • Coordinate departmental ordering and inventory for branded items, including research into and liaising with vendors.

  • Assist with media sourcing and organization; social media drafts, preparations, and posting; and with monitoring and presenting on social media accounts and metrics.



REQUIRED SKILLS, EDUCATION & EXPERIENCE 

  • Bachelor’s and/or Advanced Degree 

  • Prior experience in development or communications, or as an assistant

  • Nonprofit experience preferred

  • Strong writing ability along with impeccable copywriting, editing, and proofreading skills 

  • Exceptional verbal communications skills

  • Highly organized and motivated

  • Superb attention to detail and accuracy 

  • Appreciation for and desire to work in a highly relational and values-centered environment; excellent interpersonal, teamwork, and diplomacy skills 

  • A personal communication style that is accessible, approachable, optimistic and welcoming

  • Experience with and fluid ability to learn key computer software, including development and communications database management, Google Suite (Gmail, Google Calendar, Google Drive, Documents, Sheets, Slides), social media platforms, and email software

  • Preferably some experience in Raiser’s Edge or a similar donor database software



Note:  Workloads and demands ebb and flow with seasons and specific project timelines, and it is expected that occasional evening and weekend hours will sometimes be required during busy times of year. This is a hybrid position, and regular in-person presence is required.
