VSA - Visitor Services Associate

Job Title: Visitor Services Associate (VSA)


Reports To:  Manager of Visitor Services


Classification: Part-time, Non-Exempt Hourly


  


Position Summary


The Visitor Services Associate (VSA) serves as a friendly and knowledgeable ambassador for Ruby City. This role ensures that every guest feels welcomed, comfortable, informed, and engaged throughout their visit. VSAs share information about our founder, institution, and exhibitions; answer frequently asked questions; provide wayfinding support; promote events and programs; and collect visitor data. With professionalism and warmth, they also help maintain a safe environment by ensuring that guidelines and policies are followed, especially related to works on display. This position works weekends and has flexible part-time shifts available ranging from 8 to 26 hours a week, typically Thursday - Sunday.


Primary Duties & Responsibilities


Visitor Engagement



  • Welcome and greet visitors in a pleasant and professional manner to create a positive first encounter

  • Observe and engage  visitors with a friendly, approachable demeanor to enhance their overall experience

  • Proactively assess visitors’ needs and respond promptly to ensure the highest quality of customer service

  • Answer questions about Ruby City and related facilities in person and by phone

  • Encourage educational experiences through conversation that supports Ruby City’s mission

  • Resolve visitor complaints or concerns diplomatically, involving management when appropriate

  • Assist visitors with accessibility needs by following established procedures and laws


Knowledge & Communication



  • Confidently and enthusiastically convey knowledge of Ruby City’s educational information involving the architecture, collection, and founder, Linda Pace

  • Stay up to date on exhibitions, collections, programs, policies, and procedures to ensure the delivery of accurate and engaging information

  • Participate in regularly scheduled training related to the founder, collections, exhibitions, programs, campus, policies, and public engagement


Safety, Security & Artwork Protection



  • Protect works on view to ensure the artwork is not touched or damaged

  • Monitor visitor traffic flow and assist visitors as needed to maintain safety and smooth operations

  • Communicate promptly with security and management regarding potential safety issues or incidents

  • Adhere to Ruby City protocols for guest or employee accidents, injuries, and emergency situations

  • Monitor the condition of works on display and identify areas needing attention


Operational Support



  • Aid with opening and closing procedures

  • Monitor and maintain cleanliness of public areas, including galleries, restrooms, and sculpture garden

  • Assist with public programs, including setup, takedown, and other event-related tasks / tours, as needed

  • Communicate clearly and professionally while working cohesively with colleagues

  • Assist with maintenance of library shelving and database, when appropriate

  • Other duties as assigned


 Position Qualifications


Essential



  • Must be reliable, punctual, and self-motivated with a warm and friendly demeanor

  • Available to work weekends, evenings, and holidays

  • Appreciation for the importance and fragility of contemporary art

  • Comfortable working with the public and able to make visitors feel welcome

  • Always maintain a professional appearance and demeanor, all VSAs wear shirts provided Ruby City

  • Capable of speaking in front of large and small groups of visitors exercising a positive attitude

  • At least 1 year of front-line customer service experience

  • Ability to adapt and be flexible in a dynamic work environment

  • Able to sit or stand for long periods of time, working indoors and/or outdoors

  • High school diploma or equivalent

  • Must pass background check / drug free


Preferred



  • Recent college graduate or in-progress degree within an arts related field

  • Experience in customer service at a museum or similar type of arts related institution

  • Fluency in Spanish

Ruby City, operated by the Linda Pace Foundation, is a contemporary art center in San Antonio, TX, dedicated to providing a space for the city's thriving creative community to experience works by both local and internationally acclaimed artists. Envisioned in 2007 by the late collector, philanthropist, and artist Linda Pace, Ruby City presents works from the Linda Pace Foundation Collection of more than 1,400 paintings, sculptures, installations and video works. The building, designed by renowned architect Adjaye Associates, is part of a larger Ruby City campus, which also includes Chris Park, a one-acre public green space named in memory of Pace's son, and Studio, an auxiliary exhibition space that presents curated shows and programming. Ruby City opened in October 2019 and is free and accessible to the public year-round.
