Job Title: Operations Associate

Supervisor: Manager, Human Resources and Administration

Hours: Part Time, 29 hours/week

Goal: To advance the mission of Central Ohio Youth for Christ and affiliates by providing effective and professional operations assistance to the Operations Manager.

Key Objectives

The Operations Associate is responsible for managing a substantial amount of data entry work related to accounts receivable and fundraising efforts of the organization. As well as provide general operations assistance, including but not limited to, answering phones, processing office mail, coordination and production of mailings, and other various clerical responsibilities as directed by the Operations Manager.

Specific Duties

Responsibilities include, but are not limited to, the following:

Accounts Receivable

  • Enter and track gifts to the ministry in DonorPerfect
  • Process daily donations/revenue and mail receipts
  • Produce regular reports as needed
  • Prepare and make daily bank deposits


Donor Perfect

  • Learn and understand DonorPerfect as a system of record keeping and reporting for a critical asset of COYFC - our donor base
  • Learn and perform other tasks on DonorPerfect as needed


Office Management

  • Work with Manager of HR and Administration to ensure timely and accurate ordering of all supplies for the enterprise


Filing and Administration

  • Assist finance department as needed with electronic filing
  • Ensure all contracts are filed appropriately 


Events

  • Attend chapter fundraising events
  • Help with fundraising event set-up, check-in and post-processing of donations as needed
  • Help with coordination and day of event needs as asked
  • Some work outside of normal office hours is needed on event days


TriNet Back-up

  • Learn TriNet system and administration of it to be able to back-up the Manager, Human Resources and Administration


Mailings

  • Produce mailing lists as needed
  • Process and oversee production of mailings


Scheduling

  • Work with leadership development and various elements of the leadership team and human resources to schedule interviews


General Office Duties

  • Inventory and order office supplies
  • Answer phones and forward messages
  • Greet and assist those who enter front office in coordination with Human Resources and Administration Manager
  • Track Development event attendance in donor software
  • Pick up mail for post office box, process and distribute all mail
  • Various other duties as needed as directed by the Director, Operations and Manager, Human Resources and Administration


Equip Enterprises

  • Process car donations
  • Notify donors of vehicle status
  • Carry out duties needed for transferring titles and generating tax documents
  • Mail receipts and welcome packets to donors


Skills and Qualifications

  • Administrative/organization orientation and gifting
  • Experience and skill with computer software, particularly Microsoft Office, Databases, internet/email
  • Interpersonal and communication skills
  • Excellent clerical skills, including typing, 10-key, and accurate data entry
  • Reliable and responsible
  • Ability to manage confidential data related to people
  • Experience in successful management of multiple tasks in a fast paced office environment
  • Be teachable and able to take input from supervisor and peers
  • Has reliable transportation
  • Ability to work in the "YFC culture" with a personal burden for youth ministry


Spiritual Responsibilities

Because COYFC and its subsidiaries are a part of the same faith-based organization and share a faith mission and set of values, we require all employees to consistently apply and live according to the religious mission and theological beliefs.   • Regularly pray for and share spiritual content with existing and prospective donors to COYFC.
