Reporting to the Vice President of LAX and supporting the Operations Management Team, this is a full-time role responsible for all site-level administration, including but not limited to service contract and vendor administration, finance administration, and tenant administration and coordination. This person will provide all customers including guests, retail partners, contractors, and internal cross-functional teams with exceptional service experience, while always maintaining compliance with company policies and procedures.

A successful candidate will be highly organized, detail-oriented, and skilled in managing contracts, finance processes, and tenant coordination, while delivering exceptional customer service. We are also looking for a candidate who can successfully navigate complex organizations and process requirements to achieve maximum results.

We are looking for candidates who are passionate about helping to strengthen the foundation of a strong travel retail program in an exciting industry. This is an external-facing role interfacing with many stakeholders, as well as intermittent in-terminal engagement with our retailers, partners, and airport stakeholders – alongside collaboration with the internal team.

 

This role is full-time based at Los Angeles International Airport and will be on-site 5 days a week. Work hours will be coordinated with the local team. The role may occasionally require adjusted hours (including early mornings, evenings, or weekends) based on project needs. All scheduling will be managed in accordance with applicable California labor laws, including requirements related to overtime, rest and meal periods, and any local scheduling ordinances, as required.

 

Specific roles and responsibilities include, but are not limited to:

 

Key Responsibilities

  • Administer service contracts, work orders, bids, renewals, and vendor compliance.
  • Coordinate with Operations on contract execution, vendor access, and project follow‑through.
  • Manage Accounts Payable tasks including invoice matching, coding, troubleshooting, and payment follow‑up.
  • Support Accounts Receivable activities such as manual billing, collections, and check processing.
  • Handle tenant security deposit requests and ensure proper documentation and lease compliance.
  • Assist with month‑end accounting by preparing accruals, reconciling P‑cards, and maintaining required financial reports.
  • Uphold financial controls, documentation accuracy, and internal approval processes across all responsibilities.

General Coordination & Duties

  • Sales Collection: 
  • Sends communications to Tenants
  • Obtains sales from all retailers in accordance with lease terms, chases outstanding data to full completion, and uploads data into Salesforce/E1.
  • Completes Sales Report Sign-off and issues to the VP for approval.
  • Assists VP with the processing of Open/Closed/What's Happening Notices and uploads.
  • Uploads executed storage leases, maintains the center Storage Tracker.
  • Processes mail – receives, opens, scans and mails: Certificates of Insurance, manual checks (mails to the lockbox), invoices, other general information.
  • Prepares Tenant Operational Defaults for breach of lease covenants, issues to the VP for signature and distributes to the Tenant.
  • Coordinates with Tenants:
  • Uploads information to Tenants.
  • Responds to Tenant requests and communicates these to relevant team members
  • Processes Tenant requests for works and approves after hours work permits (checks insurance, reviews work in conjunction with Facility Operations, Tenant Services, coordinates with Tenant on scope).
  • Attends required training classes and programs.

Qualifications & Experience

  • BA or BS degree or equivalent experience required.
  • 2-3 years’ prior experience in an administration role, working with cross-functional
  • teams.
  • Experience of basic finance administration: processing purchase orders/invoices, assisting with accruals and budget forecasting.
  • Proficient in current Microsoft Office software including Outlook, Word, Excel, PowerPoint, and SharePoint. Working knowledge of enterprise management systems is advantageous.
  • Ability to understand and interpret legal agreements.
  • Ability to conform to policies and procedures and familiarity of working within a compliance framework.
  • Ability to respect confidentiality and sensitivity of information.
  • Exceptional process management skills: can organize and prioritize an efficient workflow, simplify complex processes, anticipate and adjust for problems and roadblocks, adapt to changing priorities, and manage from start to finish.
  • Exceptional customer service skills and the ability to develop and maintain effective relationships; dedicated to meeting the expectations and requirements of internal and external customers, specifically through listening and responding to concerns both in the moment and via digital communication means.
  • Ability to maintain composure in all scenarios.

 

Compensation and Primary Location

  • Exempt, $90,000.00 - $110,000.00 salary based on experience and qualifications.
