About the position:
Receptionist/ Studio Assistant is the first point of contact for clients and others visiting. The Receptionist / Studio Assistant must be able to answer general questions and direct clients to the appropriate party when needed. In this role, you will also have the opportunity to expand your knowledge of the studio's architecture business as you build your career in the studio. This position will provide general administrative support to the Facility and Studio Operation Team.
Key Responsibilities:
- Promptly opens the reception desk at 9:00 am and closes the reception desk at 6:00pm.
- Welcomes and directs visitors and clients.
- Answers and transfers phone calls, screening when necessary.
- Proactively maintains conference room calendars, prepares multiple conference rooms for internal meetings and client visits, including overseeing catering orders.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items in a timely manner.
- Assists with packages to be sent out, coordinating with internal staff, clients, and vendors.
- Accurately completes timesheets and expense reports of assigned Principals.
- Maintains filing systems as assigned.
- Responds to and resolves administrative inquiries and questions in a prompt manner.
- Coordinates and schedules items related to travel, meetings, and appointments for assigned principals.
- Maintains office supplies and coordinates maintenance of office equipment.
- Assists in coordination of educational and social events.
- Maintains licensing records for assigned principals and coordinates attendance at continuing education events.
- Performs other related duties as assigned in a prompt fashion.
- Assists with ad hoc projects as directed.
Knowledge, Skills, and Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Understanding of clerical procedures and systems such as recordkeeping and filing.
- Maintain confidentiality of sensitive information.
- Ability to work independently.
- Interest in architecture and design.
