Position Summary
The Project Coordinator supports both pre-award and post-award activities, including proposal coordination, milestone tracking, documentation management, and reporting. The role acts as a connective layer between technical execution and administrative compliance, ensuring research teams can focus on innovation while projects remain organized, auditable, and aligned with sponsor expectations.
Key Responsibilities
- Coordinate day-to-day execution of SBIR-funded research projects
- Track project schedules, milestones, deliverables, and reporting deadlines
- Maintain project plans, task trackers, and status dashboards
- Support risk tracking, issue identification, and escalation as needed
Stakeholder & Cross-Functional Support
- Serve as a coordination point between PIs, engineering teams, operations, contracts, and leadership
- Schedule meetings, prepare agendas, capture notes, and track action items
- Support alignment between technical execution and program objectives
Documentation, Records & Compliance Support
- Support secure document and records management for SBIR and government-funded programs
- Assist with maintaining controlled access to project documentation, reports, and artifacts
- Support compliance with sponsor requirements related to data handling, retention, and reporting
- Assist with audits, reviews, and change-control activities related to SBIR deliverables
Proposal & Pre-Award Support
- Support SBIR proposal coordination, schedules, and submission checklists
- Assist with collecting technical inputs, resumes, past performance, and compliance materials
- Track proposal milestones and ensure on-time submissions
Systems & Reporting Support
- Assist with tracking project data within internal systems (e.g., ERP, CRM, or project tracking tools)
- Generate regular reports to support visibility into schedule, progress, and compliance status
- Support data accuracy and traceability across project and reporting systems
Qualifications
Required
- Bachelor’s degree in Business, Engineering, Cybersecurity, Information Systems, or a related field
- 1–3 years of experience in project coordination, project management, or technical program support
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Experience supporting cross-functional technical teams
- Ability to manage multiple priorities in deadline-driven environments
- Proficiency with common collaboration and tracking tools (e.g., Excel, Jira, Confluence, ServiceNow, or similar)
Preferred
- Experience in cybersecurity, AI, software, or technical research environments
- Familiarity with compliance-driven or regulated programs
- Experience supporting documentation control, audits, or reporting processes
- Technical writing or structured reporting experience
