2.1 Accept telephone calls from prospects and set appointments. 2.2 Qualify prospects and complete guest cards (front and back). 2.3 Qualify prospects on type, size, price, and amenities available. 2.4 Refer prospects to another affiliated property, if yours does not meet their needs. 2.5 Obtain proper identification before showing prospects unit or model. 2.6 Sell prospects on the merits of the property and the management company. 2.7 Use closing techniques to capture all leases. Secure an application fee and deposit to hold the apartment off the market. All fees must be paid in separate money orders or cashier’s checks made payable to the property. 2.8 Assist the prospect in completing the applications, making sure that all information is completed on both sides with proper signatures. 2.9 Maintain accurate records on all phone calls and visits. 2.10 Follow up with phone calls on guest cards and maintenance service requests on a daily basis. 2.11 Never jeopardize your personal safety. 3.0 Administrative 3.1 Verify Application and Process Paperwork 3.2 Review all applications within twenty-four (24) hours of receipt. 3.3 Obtain rental verification through company approved service provider. Upon move-in or move-out, complete and submit information to the provider. 3.4 Contact previous landlords for references. At least six months to one-year references are needed. Verify rental payments, late payments, NSF checks, 30-day notices given, any security problems, and eligibility for re-lease. 3.5 Contact employer(s) to verify employment. Six months to one year employment is required. Income must be 3.5 to 4.0 times rental payment. (Salary requirements vary from property to property, depending on the location and the clientele.) 3.6 Walk all ready units to know the locations and presentable conditions of units that need to be leased. Also, when walking units, check smoke detectors, fire extinguishers, and other security devices to make sure they are in proper working order. 3.7 Criminal history is checked by calling a company approved service provider. Obtain past and/or current felony history on the prospects. Criminal checks must be verified on all prospects. Information varies from city to city. 3.8 Notify prospect of acceptance or denial of application immediately. Acceptance or denial is determined by the manager or authorized personnel. Document notification of approval or denial with signature and date. 3.9 Complete all paperwork and prepare a lease package for move-ins. Submit to manager for signature prior to move-in. 3.91 Ensure the timely move-ins of new residents. Make sure all paperwork is signed prior to issuing keys. Complete the move-in inventory condition form and the security device checklist with the resident on the day of move-in. 4.0 Generate Traffic for the Property 4.1 Market with local employers to generate traffic. 4.2 Maintain contact with locators. Keep them informed of current specials. 4.3 Complete market surveys on a monthly basis. 4.4 Shop other properties to survey competition and to learn new techniques. 5.0 Keep Current Residents Satisfied 5.1 Accept calls for maintenance requests from residents. 5.2 Call back resident to verify maintenance work performed. 5.3 Assist in planning and directing community activities. 5.4 Complete and submit renewal worksheet for manager approval sixty (60) days prior to lease expiration. Contact residents with an appropriate letter at least 35 days in advance.
