Summary:
As a front desk staff member at our medical spa, you will be the first point of contact for our clients. Your primary responsibilities include greeting and assisting clients, scheduling appointments, managing phone calls, and handling administrative tasks. You will also be expected to maintain a professional and welcoming atmosphere in the spa.
Key Responsibilities:
1. Greeting and Assisting Clients:
· Welcome clients as they enter the spa and provide excellent customer service.
· Address client inquiries, provide information about services, and assist with any special requests.
2. Appointment Scheduling:
· Schedule and confirm client appointments using the spa's booking software.
· Manage the appointment calendar, ensuring efficient scheduling and accurate records.
3. Check-In and Check-Out:
· Check clients in for their appointments, verifying their information and preferences.
· Process payments, handle billing, and provide receipts upon check-out.
4. Phone and Email Communication:
· Answer phone calls and respond to emails in a professional and courteous manner.
· Provide information about services, pricing, and availability.
5. Maintaining a Clean and Organized Reception Area:
· Ensure the reception area is clean, organized, and well-stocked with spa brochures and products.
· Monitor and replenish supplies as needed.
6. Client Records and Documentation:
· Maintain accurate client records and documentation, including consent forms and medical history information.
· Follow privacy and compliance protocols, such as HIPAA, when handling sensitive client information.
7. Sales and Upselling:
· Promote spa services, packages, and products to clients.
· Upsell additional treatments or services when appropriate.
8. Resolving Client Issues:
· Handle client complaints or issues with professionalism and work to resolve them to the client's satisfaction.
9. Team Collaboration:
· Collaborate with spa staff, including estheticians and medical professionals, to coordinate client appointments and ensure a seamless client experience.
Qualifications:
· High school diploma or equivalent; additional education in customer service or hospitality is a plus.
· Previous experience in a similar role, ideally in a spa, beauty, or healthcare setting.
· Strong interpersonal and communication skills.
· Excellent organizational skills and attention to detail.
· Proficiency in computer software, including booking and scheduling systems.
· Knowledge of spa services, products, and basic medical terminology (if relevant).
· Understanding of and commitment to maintaining client confidentiality and adhering to spa policies and procedures.
