The Operations Associate will be a critical member of the Operations team, responsible for executing a comprehensive set of daily, weekly, monthly, and quarterly financial operations procedures. This role ensures the accuracy of client accounts, billing, reporting, and reconciliation across various custodian and technology platforms, with a significant focus on complex wealth management and alternative investment processes.
Key Responsibilities:

Perform daily checks, including monitoring new accounts for onboarding and classifying new assets in the system.

Track and process Alternative Investment transactions, commitments, capital calls, and valuations.

In partnership with our outside consultant, conduct a comprehensive set of monthly and quarterly checks and audits via Black Diamond data mining exports, including:

Cost Basis, Cash Buffer, Tax Status, Custom Benchmark, Negative Cost Basis, Portfolio Goal, Manual Accounts with Zero Balance, and Portfolio Assignment Audits.

Produce the Monthly Billing Estimate for Accounting

Manage the Quarterly Billing Process, including folder setup, running and merging data mining reports, identifying new clients and exceptions, and coordinating advisor approvals for all updates.

Assist with ADV updates and AUM Reporting for supervised accounts.
Required Qualifications

Minimum 3-5 years of experience in financial operations, preferably in wealth management or a Registered Investment Advisor (RIA) setting.

Proficiency with reporting platforms such as Black Diamond (preferred), Tamarac, Addepar, and RIA custodians (Schwab, Fidelity).

Strong understanding of account types (IRA, Roth, Trust, etc.), fee schedules, and complex billing practices (billing estimates).

Advanced skills in data management, including running complex reports, VLOOKUPs, data consolidation, creating detailed pivot tables, Tableau, Power BI, and SQP is a plus.

A meticulous attention to detail and a commitment to audit-level accuracy in reconciliation and reporting.

Demonstrated ability to work independently in a remote setting and high accountability for results.
