Operations and Administrative Team
The Special Events Manager is part of Intersect Illinois’ operations and administrative team, which is responsible for organizing and coordinating office administration and procedures in order to ensure organizational effectiveness, efficiency and safety. The team is responsible for developing intraoffice communication protocols, streamlining administrative procedures, controlling inventory, supporting office staff and delegating tasks. The operations and administrative team supports the entire office including the executive, business development, corporate relations, marketing and research teams.
Opportunity
The Special Events Manager is responsible for planning and managing events that align with Intersect Illinois’ mission and the State’s economic development goals, that build and strengthen partner relationships, and that enhance the organization’s brand with statewide, national, and international audiences. The manager is responsible for researching and securing venues, planning and managing the events calendar, negotiating quotes and agreements with vendors, assisting with event marketing, monitoring timeframes and budgets, networking and delivering on event objectives. The manager’s creativity, organizational skills, and vision amplifies Intersect’s visibility, enhances client and employee relations and improves the organization's growth. The manager reports to the Vice President of Administration and Operations and works closely with the corporate relations, executive and marketing teams.
Responsibilities
• Brainstorm and implement event plans and concepts
• Manage budgets and invoices
• Liaise and negotiate with vendors
• Negotiate sponsorship deals
• Oversee logistics
• Update senior management
• Manage event branding and communication
• Develop event feedback surveys
• Obtain permits
• Report on event metrics
Required Knowledge/Experience
• Functional knowledge: experience managing events from conception through execution and reporting
• Proficient in: various event software, project management
• Experience: 5 years of experience coordinating and managing events
• Attributes: strong leadership skills, highly organized multi-tasker with excellent time management skills
• Skills: exceptional organizational abilities and superb interpersonal communications
• Degree: Bachelor’s in marketing, public relations, communications, hospitality or related field required
