The Sample Coordinator provides operational support for the processing, organization, and distribution of product samples across marketing and sales functions. This role plays a key part in keeping sample inventory accurate, showrooms presentation-ready, and tradeshow logistics running smoothly. 

KEY RESPONSIBILITIES 

Sample Processing & Inventory 

  • Receive, unpack, sort, label, and stock incoming seasonal samples and swatches. Collaborate with purchasing, accounting to ensure accuracy of regular on hand inventory against packing list. 

  • Maintain sample room inventory for in-stock product, including labeling and organized storage. 

  • Manage and rotate archives of design and development samples. 

  • Maintain confirmation samples for in-stock product and support QC and returns processes. 

Sales & Customer Support 

  • Coordinate seasonal sample needs for Regional Sales Managers (RSMs), including packing, shipping, and tracking. 

  • Fulfill customer sales sample requests, including data entry and shipment tracking. 

Marketing & Events 

  • Assist with preparation and packing for in-house photography shoots. 

  • Maintain all shoe sample displays in company showrooms. 

  • Manage and prepare tradeshow materials, including storage, sample pulls, packing, and shipping. 

  • Support proper storage and inventory management of point-of-purchase (POP) goods; ship POP materials as needed. 

  • Assist the marketing team with mail campaigns as needed.

QUALIFICATIONS 

EXPERIENCE

  • High school diploma or work experience equivalent.

  • Minimum two years of experience in an administrative, warehouse, or coordinator role. 

SKILLS & COMPETENCIES

  • Strong attention to detail and organizational skills. 

  • Experience and comfort using Microsoft Office Suite, including Excel.

  • Ability to manage shifting priorities and adapt to changing business needs. 

  • Ability to work independently.

  • Collaborative and team-oriented.
  • Effective written, verbal communication skills.

PHYSICAL REQUIREMENTS 

  • Ability to work a full shift, including extended periods at a computer workstation. 

  • Ability to lift up to 50 lbs. 

  • Ability to work overtime during peak seasons and maintain schedule flexibility as business require.
