POSITION OVERVIEW

The Philanthropy & Communications Coordinator provides administrative and coordination support to the Philanthropy and Marketing & Communications teams through accurate and timely donor acknowledgment processing, marketing and communications customer service, departmental and executive support, event and meeting coordination, and database and records maintenance.

 

The Philanthropy & Communications Coordinator supports positive donor and external audience experiences and contributes to fundraising success through responsive service, accurate recordkeeping, and effective coordination across both departments.

 

ESSENTIAL DUTIES & RESPONSIBILITIES

 

40% | Donor Relations & External Communications

  • Manage general Philanthropy and Marketing & Communications inboxes and voicemail and respond to inquiries or route them to appropriate staff for follow-up.
  • Respond to Marketing & Communications customer service inquiries in a timely and professional manner.
  • Generate and send donor acknowledgment letters and tax receipts within required timelines, including during seasonal periods of high volume.
  • Collaborate with Marketing & Communications colleagues to maintain the Changent website and support the creation of custom web pages.

 

40% | Administrative Coordination & Support

  • Support recurring meetings and, in collaboration with department leadership, plan annual team and department retreats.
  • Provide administrative support to leadership, as requested.
  • Provide event execution support for in-person and virtual events that advance Philanthropy and Marketing & Communications objectives.
  • Provide out-of-office coverage and participate in cross-training across key Philanthropy and Marketing & Communications functions.

 

20% | Database & Records Maintenance

  • Support the maintenance of accurate and complete donor records.
  • Support data audits by reviewing and correcting records for donors and implementing partner organizations.
  • Maintain organized, accessible, and current shared files for the Philanthropy and Marketing & Communications departments.

 

KNOWLEDGE, SKILLS, AND EXPERIENCE

  • Minimum of 1 year of experience with data processing, record maintenance, or related administrative work requiring accuracy and attention to detail.
  • Experience using a CRM to maintain records, generate reports, and retrieve data; Salesforce experience strongly preferred.
  • Minimum of 1 year of experience providing administrative or executive support.
  • Excellent written, verbal, and interpersonal communication skills with a strong customer service mindset.
  • Strong organizational and project coordination skills with the ability to manage multiple competing priorities.
  • Strong attention to detail, accuracy, and follow-through.
  • Proactive problem-solving skills with an interest in process improvement.
  • Proficiency with Microsoft Office or similar workplace productivity tools.
  • Experience with fundraising or philanthropy preferred but not required.
  • Ability to handle donor and organizational information with discretion and professionalism.

 

SUPERVISORY RESPONSIBILITIES

This position reports to the Manager, Major Gifts and does not have any direct reports.
