POSITION OVERVIEW

The Program Coordinator provides administrative and logistical support for our two evidence-based programs, Child First (CF) and Nurse-Family Partnership (NFP), assisting with training and educational activities using technical and digital platforms. This position communicates regularly with internal teams and external partners to provide updates, share information, and respond to questions.

 

This position works in a matrix reporting structure and supports Senior Managers in the Child First and Nurse-Family Partnership programs.

 

ESSENTIAL DUTIES & RESPONSIBILITIES 

30% | Program Operations & Coordination

  • Provide day-to-day administrative and logistical support to the Child First and Nurse-Family Partnership programs, including scheduling and preparing materials.
  • Coordinate the onboarding activities, including scheduling, materials preparation, and communication support.
  • Keep program documentation, process guides, and organization charts up to date.
  • Support cross-departmental coordination by sharing information and following up with internal stakeholders.
  • Track program timelines, deliverables, and action items.
  • Assist with planning and running trainings, meetings, and program-related events, both virtual and in-person.
  • Perform organizational and coordination tasks to support smooth program operations.

 

30% | System & Platform Support

  • Organize and manage files and resources in Microsoft Teams, SharePoint, and Dropbox.
  • Provide basic troubleshooting support for internal ticket requests and escalate issues as needed.
  • Update internal websites and shared platforms with routine content and materials.
  • Upload and maintain learning management system (LMS) content, including training materials, onboarding resources, and user access.
  • Update LMS and orientation materials to keep them current and well-organized.
  • Support system documentation and standardization to help improve efficiency across platforms.

30% | Stakeholder Communication

  • Monitor and respond to shared inboxes and communication channels.
  • Assist with monthly communications to implementing partner organizations.
  • Draft, format, and send internal and external communications.
  • Update social media platforms, partner portals, and online community groups.
  • Help maintain consistent messaging with partners and track follow-up items.
  • Organize and track partner inquiries, communications, and resources.

 

10% | Cross-Functional Support

  • Participate in project-based work across departments to meet organizational priorities.
  • Attend program, departmental, and organizational meetings.
  • Join regular supervision and team check-ins.
  • Support evolving projects and initiatives as needed.

 

KNOWLEDGE, SKILLS, AND EXPERIENCE

  • High school diploma or equivalent experience.
  • Experience using Microsoft Excel, Word, and Teams; ability to learn other platforms.
  • Experience scheduling virtual and in-person meetings.
  • Ability to manage logistics for multiple projects simultaneously.
  • Ability to travel up to 10% annually.

 

PREFERRED QUALIFICATIONS

  • Experience supporting multiple programs in a learning management system (LMS).
  • Experience assisting with healthcare or social services training activities.
  • Experience with system integration and standardization projects.
  • Experience using SharePoint, Zoom, website platforms, or project management tools.

 

SUPERVISORY RESPONSIBILITIES

This position reports to the Senior Manager, Training and Senior Manager, Nursing Education and has no direct reports.
