About the Role

 

Reporting to the Managing Director, Systems, this role is an ideal opportunity for a seasoned industry professional with the desire to learn and grow. We are looking for someone ideally able to work on-site in our Eagan, MN location.

Key Responsibilities:

 

  • Manage systems and processes to ensure data is complete, accurate, and compliant.
  • Transtar power user and user support.
  • Test new software updates and provide user training.
  • Consult with software service provider to resolve system bugs.
  • Assist to set up users within systems.
  • Process improvement and efficiencies through analysis and innovation.
  • Create Excel Macros to support the efficiency of business processes.
  • Provide necessary input to regulatory projects, as required.
  • Update external website data and forms as requested.
  • Assist with conversions of record from other Transfer Agents.

 

 System Oversight & Optimization

 

 

  • Ensure the stability and performance of Transtar and other critical systems.
  • Perform testing of new software releases before deployment to minimize business disruption.
  • Identify opportunities for automation and process enhancements across departments and deliver solutions that streamline workflows and reduce manual effort.
  • Collaborate with cross-functional teams to understand business needs and translate them into technical solutions.
  • Evaluate and implement new technologies and tools that align with business goals and improve system capabilities.
  • Develop and maintain documentation for system architecture, processes, and procedures.
  • Work with internal stakeholders across all levels to understand business needs and align system capabilities accordingly.
  • Draft clear and comprehensive business requirements for outsourced projects to ensure successful execution.
  • Maintain a strong understanding of all business functions and how internal systems them.

Skills and Experience

 

 

  •  A minimum of ten years of progressive experience within the Transfer Agent and Trust Company sector.
  • Demonstrated experience in systems management, operations, or process optimization, with a strong focus on automation and operational efficiency.
  • Proven ability to lead remote teams effectively, fostering accountability and performance through well-structured systems and communication.
  • Strong analytical and problem-solving skills, with the ability to assess complex systems and implement scalable solutions.
  • Excellent written and verbal communication skills, with the ability to engage and influence stakeholders at all levels of the organization.
  • Ability to write clear, actionable business requirements for outsourced or cross-functional projects.
  • Broad understanding of business operations, with the ability to quickly learn and navigate systems.
  • Comfortable working in dynamic environments with shifting priorities; able to manage stress and maintain focus without a fixed hierarchy of priorities.
  • Strategic thinker with the ability to execute tactically balancing long-term goals with immediate operational needs.
  • Collaborative mindset with a track record of working effectively across departments to prioritize initiatives and manage team workload.
