Primary Responsibilities & Attitude
As a Shareholder Services Associate, you are someone who enjoys working in a with a tight-knit group in a fast-paced environment. Continuous learning and development are something you lean into on a daily basis. You build strong relationships with our Odyssey team and the community of brokerage firms and others that regularly contact Odyssey for information; You are someone they can count on to be available when they need you, find solutions to their challenges, and assist with their inquiries.
You are responsible to:
- Handle day-to-day interactions with our client’s shareholders and their representatives, with a focus on efficiently and accurately handling their inquiries
- Evaluate and resolve shareholder queries and/or issues professionally and consistently.
- Respond to calls and resolve problems with exceptional care and efficiency.
- Maintain a positive, empathetic, and professional attitude toward clients and shareholders.
- Consistently and accurately log correspondence of all shareholder inquiries.
- Collaborate with Team Lead to regularly improve process efficiencies.
- Perform general administration tasks, such as printing, mailing, mail distribution, outgoing deliveries, scanning and office management.
- When required, receive visitors at the front desk by greeting, directing, assisting, and announcing them appropriately.
- Work collaboratively to carry out team goals.
Skills and Experience
- Solutions-based attitude, answering inquiries with “yes, I can do that for you” or “let me find a way to make this happen.”
- Exceptional customer service and problem-solving skills
- Advanced communication skills (written and oral)
- Strong organizational skills and ability to prioritize and multi-task.
- Experience answering the mainline on a busy phone system.
- Considers themselves technically sound and diligent.
- Strong proficiency with Office 365 (Excel, Word, PowerPoint), and other desktop applications
- Attention to detail and takes pride in work.
- Prior Securities Industry or Transfer Agent experience.
