Job Brief: In general, the purpose of the Systems Specialist is to assist in the development and roll out of special reports, new systems and maintenance of existing systems. The Systems Specialist is expected to take a hands-on approach to necessary duties to accomplish objectives as well as to facilitate the successful performance of others.
Essential Duties:
 Coordinate and track tasks and schedules of the project management team.
 In conjunction with the Systems Manager handle all aspects of new report
 development, special report requests and support of existing systems.
Oversee and train the support team on new reports and systems roll outs.
 Act as back up for Entrata online leasing.
 Monitor compliance with ACH policy and procedures. Work with proper -
ties to ensure every effort is made to consistently follow company policy and procedures.
 Mentor support team members on system skills and concepts.
 Assist with takeovers and due diligence assignments.
 Special projects as assigned.
Skills and experience:
 Advanced Excel Skills
 Microsoft Word
 Student property management experience preferred.
Process Management:
Ensure the initiation and management of all core business
processes at communities within the region, including Leasing, Resident Relations, Marketing, Maintenance, Budgeting, Accounts Receivable, Accounts Payable, Vendor Relations, Selection and Recruitment, and Team Member Development.
Physically walk and inspect communities within the region on a monthly basis.
Ensure that market surveys are conducted on a regular basis and that competition is shopped regularly. Utilize the market information to make strategic decisions for the success of the communities within the region.
Answer incoming phone calls professionally and handle accordingly, whether the caller is a prospective resident, a resident, a team member, or a vendor.
Communicate policy and procedure changes with team members.
 Maintain vendor/contractor communications concerning work scheduling, billings, and vendor relations.
 Determine course of action relating to rent delinquencies and resident disruptions.
In conjunction with the Regional Vice President and Property Managers, formulate budgets for each community within the region for the upcoming year and ensure the communities stay within budget guidelines throughout the year.
Leadership:
Empower others to perform and provide necessary support, set and measure challenging standards of performance, and facilitate the movement to-ward a common vision.
Mentor team members on property management skills and concepts.
 Model effective leasing and customer service techniques and communicate
expectation to property managers and site team members.
Communicate expectations regarding property goals and performances to team members, and follow through on progress.

Identify marketing needs of specific communities or areas and facilitate the
development and implementation of marketing plans to accomplish
objectives.
 Maintain a consistent awareness of property occupancies, financial performance and seasonal trends to identify upcoming staffing, maintenance, and marketing needs. Plan and implement solutions to meet those needs with Property Managers.
