Job Summary:

Legacy Prep, an Alabama Public Charter School serving students in grades K-6, is seeking a dedicated and detail-oriented Human Resources Assistant to support the Finance Department. The Human Resources Assistant will play a critical role in maintaining efficient HR operations, managing employee records, and ensuring compliance with school policies and regulations. Key Responsibilities:

  1. Employee Records Management: Maintain accurate and up-to-date employee records, including personnel files, contracts, certifications, and other relevant documentation.

  2. Onboarding: Assist in the onboarding process for new hires, including completing necessary paperwork, conducting orientations, and coordinating training sessions.

  3. Benefits Administration: Support the administration of employee benefits programs, including health insurance, retirement plans, and leave management.

  4. Payroll Assistance: Collaborate with the Finance Department to ensure accurate and timely processing of payroll, including verifying timesheets and addressing payroll-related inquiries.

  5. Compliance: Ensure compliance with federal and state employment laws, charter school policies, and regulations, staying up-to-date on changes and requirements.

  6. HR Communications: Assist in disseminating HR-related information to employees, including policy updates, announcements, and resources.

  7. Documentation: Prepare and distribute employment-related documents, such as offer letters, contracts, and termination notices.

  8. Conflict Resolution: Support HR in addressing employee concerns, conflicts, and grievances, maintaining confidentiality and professionalism.

  9. Recordkeeping: Maintain HR databases and systems, ensuring data accuracy and security.

  10. Reporting: Generate reports on HR metrics, trends, and key performance indicators for the Finance Department and school leadership.

  11. Assist in Recruitment: Collaborate with HR in recruitment efforts, such as posting job vacancies, scheduling interviews, and conducting background checks.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • Previous experience in HR administration or related roles is a plus.
  • Strong organizational and multitasking skills, with a keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with HRIS (Human Resources Information System) software is advantageous.
  • Knowledge of employment laws and regulations.
  • Discretion and ability to handle confidential information with integrity.
  • Team player with a customer-service-oriented approach.
