Black Mamas Matter Alliance, Inc. (BMMA) is a national Black women-led, cross-sectoral, multi-disciplinary alliance. We center Black Mamas to advocate, drive research, build power, and shift culture for Black Maternal Health, Rights, and Justice. We envision a world where Black Mamas have the rights, respect, and resources to thrive before, during, and after pregnancy. BMMA was created out of a need to form a national voice and coordinating entity that can hold space and serve as a platform for Black women-led initiatives that are working to address the issues that impact maternal health disparities and inequities using the birth and reproductive justice, and human rights framework. BMMA provides technical assistance, training, and capacity building for grassroots organizations, maternity care service providers (e.g., clinicians, midwives, doula networks and community health workers), academia, and the public health sector. We recognize that maternal mortality and morbidity is a global concern, and frame domestic maternal health policy and research within the global Black Feminist context.  

 

 

JOB DESCRIPTION: The Research & Grants Administrator will work closely with the Research & Evaluation department leadership, project teams, and the Operations & Administration department to monitor the expenditure of funds, comply with necessary funder and organizational reporting regulations, and overall, successfully manage the administration of research and evaluation activities for the organization. Primary responsibilities include assisting with private and governmental grant proposal processes, submissions and reporting, contract development and disbursement of payments for supply vendors, project consultants and advisors, IRB submission support, and assisting with project and budget management and department work plans.

 

MINIMUM QUALIFICATIONS

  • A Bachelor's or Master’s degree in public health, healthcare administration, business, or other related fields.
  • 5+ years’ of related work experience in research administration and project coordination, including, administering partner contracts and related documentation, and coordinating IRB/ research ethics/human subjects protection application tasks
  • 5+ years’ of demonstrated experience with grant writing, grant application coordination, and grant management, including reporting
  • 4+ years’ experience working in the field of higher education, public health, human rights, social sciences and/or maternal and infant health and/or with reproductive justice-focused organizations
  • 4+ years of experience with developing and monitoring budgets and financial reporting and/or experience with basic accounting in a not-for-profit organization
  • Knowledge and demonstration of grant management principles, including federal and state rules and regulations
  • Experience with U.S. federal government grant submissions process (e.g. NIH, PCORI, HRSA, CDC, etc.) and related reporting, and electronic grant submission portals including eRA Commons, Research.gov, Proposal Central, etc.
  • Proficiency in using Microsoft Office Suite, including Excel, Outlook, PowerPoint and SharePoint; G Suite, including Google Drive, Google Docs, Google Forms, and Google Sheets; Zoom, Teams, Slack; SalesForce, Asana; willingness to gain proficiency in other computer programs
  • Ability to maintain accurate records and files electronically; Meticulous attention to detail and good organizational skills
  • Ability to maintain confidentiality; use tact and discretion; and demonstrate excellent customer service skills while navigating complex projects and situations in order to come up with resolutions and meet deadlines
  • Strong interpersonal skills with the ability to work well both individually and within a team 
  • Good judgment in asking for clarification when necessary and proactively updating supervisors on progress and problems on a timely basis
  • Ability to develop and implement policies, procedures, goals, and objectives; Ability to research and establish best practices
  • Ability to work well in a startup environment
  • Flexibility to occasionally work evenings and weekends for core organizational programming, including but not limited to convenings, conferences, and regional summits

 

JOB RESPONSIBILITIES

Support Research and Evaluation (R&E) activities:

  • Assist R&E leadership with allocation of staff time and resources, including ascertaining staffing needs and providing assistance with recruitment efforts
  • Work with R&E leadership in responding to inquiries regarding opportunities for collaborating with the R&E department
  • Work with R&E leadership to facilitate opportunities for staff development including trainings and conference attendance

Support R&E operations and Operations & Administration Department:

  • Support R&E leadership with department requests and communications to staff
  • Work closely with leadership to ensure progress across the organization with archiving efforts and other knowledge management initiatives
  • Work with and provide support to the Operations & Administration Department’s financial reporting, grant management, and other organizational funding management activities

Monitor R&E department contracts:

  • Track all contracts/agreements for the organization with a main priority for the R&E department
  • Monitor the schedule of payments on all project based, restrictive grant-funded contracts
  • Ensure that appropriate invoicing and financial reporting are provided by subcontracted partner organizations/consultants/advisors/vendors
  • Assist Operations department staff, as needed, to prepare for any audits related to our work arrangements with partners/consultants

Support R&E grant submissions/reporting, budgeting, project management:

  • Support R&E leadership in preparing and submitting grant proposals to CDC, NIH, and other U.S. government agencies
  • Work with the proposal team to develop budgets, and convert budgets into the grant submission format
  • Ensure familiarity and compliance with government funding certifications, assurances, and registrations
  • Monitor schedules for grant reporting and assist with documents related to funder-requested information, progress reports/continuation proposals
  • Communicate with colleagues in the Operations department to help monitor expenditure of funds and comply with necessary reporting regulations, and plan/modify project timelines accordingly
  • Work with project leads to obtain information necessary to inform monthly workplan changes
  • Facilitate and coordinate proactive communication about projects and workplan activities within and between R&E and other departments
  • Work with R&E Leadership to address competing demands on time for research staff, with the goal of ensuring quality of work and successful completion of work
  • With the support of Project Directors, coordinate all aspects of IRB submissions
  • Provide substantive input and support to research project staff in development and revision of IRB materials
  • Communicate with IRB regarding review scheduling, determination of exemptions, IRB roster updates, and additional needs
  • Ensure organizational compliance with IRB-related registrations and U.S. government human subjects rules and regulations
  • Perform and participate in other job-related tasks, as assigned, for the organization, including core programs and initiatives

 

COMPENSATION:

The BMMA Research & Grants Administrator is a full-time position with a salary range of $78,000 - $88,000, commensurate with experience.
