We are a professional services firm working in the AEC industry with a dynamic team of 40 people located in three offices and several remote locations throughout the US.

 

Position summary

The IT Manager will be responsible for overseeing the firm's IT operations, managing both hardware and software needs, and providing exceptional support to internal teams. This role will involve a variety of tasks, from device management and IT onboarding/offboarding to overseeing cloud servers and managing special projects. The ideal candidate will be highly organized, solution-oriented, and able to work across various platforms to meet the firm's evolving IT needs. Previous experience managing IT for an AEC firm is highly desirable.

 

Position responsibilities

  • Internal first-stop IT support: Serve as the first stop for day-to-day technical support and IT troubleshooting, within office hours.
  • External IT vendor: Interface with and set priorities for external IT Managed Service Provider (MSP). External MSP provides help desk support, cloud-based server infrastructure administration, Office365 administration, non-AEC software license purchases, system administration, and security protocol maintenance.
  • Cloud server management: Oversee cloud-based server management by MSP, ensuring optimal performance, security, and accessibility for all users.
  • Global coordination: Collaborate and coordinate with the IT Manager in London, ensuring consistency and accessibility between the US and UK corporate entities and staff.
  • Software license management & user setup: Track software licenses and ensure proper allocation of resources. Manage user access for various software tools, ensuring all users have the necessary permissions and access rights. Interface with BIM Manager for specialty drafting, BIM, and rendering software deployment.
  • Device management: Oversee the purchase, setup, and tracking of company devices (PCs, Macs, accessories, etc.), ensuring devices are properly configured and fully operational for all team members.
  • Onboarding and offboarding: Manage the IT aspects of employee onboarding and offboarding, including setting up new accounts, managing access, and ensuring a smooth transition for departing employees.
  • Website oversight: Monitor and maintain the company’s website, ensuring its functionality and coordinating with external vendors for updates or improvements.
  • Accessory purchases: Manage the procurement and distribution of all necessary IT accessories, such as monitors, keyboards, and other peripherals.
  • Special projects: Lead or assist in special projects, including:
    • Research and implement replacement platforms for spam management, email filing, and project database/billing.
    • Oversee the creation and implementation of a new website (working with external vendors), including managing associated API integrations.
    • Identify and implement IT improvements and solutions to enhance the overall workflow of the company.

 

Essential skills and experience

  • IT project management: Proven experience in managing IT-related projects from start to finish, including coordinating with external vendors and stakeholders. Such experience specifically for an AEC firm is highly desirable.
  • Server administration: Background in managing the configuration, maintenance, and optimization of company servers, including knowledge of best practices in server management and disaster recovery.
  • Asset management: Familiarity with managing IT assets, including tracking software and hardware usage, and ensuring proper documentation.
  • Software licenses and configuration: Experience in managing software licenses and configuring and maintaining AEC industry-specific software. Examples of current software: AutoDesk AEC products, Adobe Suite, Bluebeam, Rhino, Enscape
  • Website management: Experience in managing, maintaining, and troubleshooting company websites, including working with external vendors and understanding basic website functions.
  • API knowledge: Experience with or understanding of API integrations and working with various software platforms.
  • Platform agnostic: Ability to support both PC and Mac platforms to resolve issues on any device.
  • Strong problem-solving and troubleshooting skills with a “dig in and fix issues” mentality.
  • Excellent communication skills to effectively explain technical issues to non-technical users.
  • A self-starter who can manage multiple priorities and work independently.
  • Detail-oriented, organized, and proactive in identifying areas for improvement.
  • Proof of legal right to work in the United States
  • Fluency in English, both spoken and written

 

Technical knowledge/experience with tools

Coding experience is not required. Familiarity with installation of and troubleshooting for many of the following platforms is desired:

Familiarity with basic installation of the following platforms is highly beneficial (BIM Manager handles troubleshooting and other user issues):
