We are a fully remote team of nonprofit experts serving clients throughout North America. We are looking for an Office Manager who will handle ongoing operational tasks that support business functions so that our team can stay focused on supporting our clients. 


Position Responsibilities


Perform ongoing bookkeeping and financial operations tasks:

  • Reconcile credit card and checking accounts in QuickBooks
  • Generate weekly and monthly reports for management
  • Reconcile employee expense reports and create reimbursement payment records
  • Accounts Payable tasks
    • Enter bills and create bill payments
    • Maintain & organize vendor contracts & supporting documentation
  • Accounts Receivable functions and client billing
    • Manage client invoicing cycle
      • Work with team to ensure timely completion of timesheet entry
      • Work with Project Managers on invoicing completion and QA
      • Work with COO on final issue resolution and invoice release
    • Maintain clients accounts in internal systems
    • Receive payments, follow up on A/R, record deposits



Perform ongoing administrative and operational tasks:

  • Function as the point person for team equipment, accessories and supplies procurement
  • Assist staff with administrative tasks/requests
  • Assist team with travel arrangements & travel account management
  • Assist with internal firm logistics/event coordination
  • Assist marketing team with administrative and conference-related tasks
  • Serve as backup for internal tools for administrative & reporting processes, such as the Microsoft 365 suite, PSA, etc.
    • Manage telecom (landlines, cell phones, internet connectivity)
    • Manage Microsoft365 team accounts - set up/close out email user accounts, maintain group membership, track and update licensing
  • Assist with reporting tasks
