
Overview
Locksmith Animation is seeking an industrious, jack-of-all trades executive assistant and office manager to support the US team in their West LA office.
Responsibilities include, but are not limited to:
- Provide day-to-day support for the CEO and SVP, Head of Development
- Calendar support (in multiple time zones), call handling, prepping materials/presentations for upcoming meetings, keeping CEO and SVP, Head of Development on schedule
- Handle all travel management for the CEO and SVP, Head of Development
- Booking and following status of domestic and international hotel, flights, car, rail and related
- Creating and maintaining travel itineraries
- Includes all expense report processing
- Light EA support to the SVP, Legal and Business Affairs on an as needed basis
- Office management for the LA team to include greeting and welcoming guests, ordering office supplies, handling catering orders, office equipment oversight, facilities management
- Coordinate events for office (screenings, celebrations, gatherings) including venue scouting, menu planning, invitation coordination, gift selection/distribution (at times in partnership with other studios, PR partners)
- IT equipment ordering, managing parking / building access, and all related office building support
- Coordinate with UK office to ensure financial transactions are completed for the US office (purchase orders, corporate card reconciliations, expense reports)
- General problem solving and proactive planning of needs for the US office team
- Process improvement and identifying ways to make the office work more efficiently
- Provide occasional ground support to UK executives who travel to the US
- Possible light personal support for the CEO
- Other duties as needed
Postion Requirements:
- Minimum 3+ years of experience as an experienced Executive Assistant, handling more than one senior level executive
- College coursework / degree preferred
- Previous experience in animation, entertainment, pop-culture or production/development/ filmmaking or interest in industry ideal
- Strong proven proficiency in Microsoft Suite (Word, Excel, PowerPoint, Outlook, Adobe, Teams) required
- Knowledge of Keynote helpful
- Office management experience preferred
- Previous experience preparing meeting materials and presentations a must
- Proven ability to work independently with minimal direction
- Proven work in an environment requiring utmost discretion and confidentiality
- Highly organized, solution and detail oriented with ability to multi-task and anticipate problems and conflicts in advance
- Strong verbal and written communication skills
- Strong interpersonal skills and ability to interface with varied levels of internal and external management, talent, and staff
- Experience working in, and a positive attitude towards, a dynamic business environment
- Excellent organization and analytical skills
- Ability to work flexible hours to accommodate multi-national office dynamics
- Must be able to work on site 4-5 days per week
- Willingness to travel from time to time (within Europe or to the US) if needed
Compensation and Benefits:
The range for this position, experience dependent, is between 70,000 and 85,000.
In addition to salary, full-time employees receive a company funded benefits package including health, dental, vision, life and disability insurance, paid time off and a 401k plan with employer match.
