Position Overview
iMentor is seeking a seasoned Operations & Facilities Manager to oversee day-to-day office operations to iMentor’s NYC Office and provide regional leadership support to our New York City, Chicago and Bay Area offices – supervising one full-time Office Coordinator in our NYC Office. This role will serve as point of contact for various office suppliers and maintenance and cleaning contracts as well as forging and maintaining relationships with licensees who share space in our NYC office.

The ideal candidate will have experience in office management with a strong customer-service and project management orientation who is able to build out local and national structures. Reporting to the Director of Risk & Compliance / Legal Counsel, this role will collaborate on and execute regional office policies, procedures and emergency preparedness plans. The Operations & Facilities Manager will have a strong level of office management excellence; codifying national processes and shepherding iMentor’s operations and office culture towards a higher standard of success. This individual will be reliable, punctual and trustworthy; the kind of person who can quickly earn the trust of the entire staff.

Core Responsibilities:

Operations & Facilities Project Management
  • Supervise one full-time Office Coordinator and execute daily office functions as needed:
    • Open & Close iMentor NYC’s office, creating staffing plan of the front-desk, greet and direct guests, and provide customer-service/support to staff 
  • Maintain office efficiency by planning and implementing office systems, layouts and equipment procurement
  • Annual work-space audits across the regions to assess occupancy and office needs
  • Serve as office and facilities project manager, leading strategy, planning and execution and managing to outcomes / success across teams and regions
  • Work with department leaders to consistently improve operations and facilities management
  • Manage operations ticketing system via ZenDesk to analyze, sort and oversee assignment of tasks to 6-operations team members
  • Act as point of contact with building management in NYC to ensure facilities are maintained satisfactorily, and disseminate information to national staff with updates


Vendor Management
  • Research, contact and vet new vendors
  • Oversee contract and relationships with office management companies in our regions (NYC, Chicago & SF Bay Area) and work with regional leaders to strengthen local ties
  • Manage and coordinate vendor relationships with key iMentor business, facilities, and service partners
  • Oversee iMentor contracts with landlord and office licensees


Risk & Compliance
  • Keep management informed by reviewing and analyzing special reports, summarizing information and identifying trends to ensure we manage Service Level Agreements
  • Establish and maintain a database of policies and procedures by partner school including emergency preparedness
  • Maintain contract management tools and oversee document retention process for the organization
  • Send vendor contracts
  • In partnership with Director of Risk & Compliance / Legal Counsel:
    • Design and implement office policies by establishing standards and procedures; measuring results against standards and making adjustments as needed
    • Serve as national point of contact and support for onboarding regional staff in regard to risk and compliance
    • Supporting risk assessments across the organization


Qualifications
  • Four (4) or more years of office / facilities management or risk and compliance experience
  • At least one (1) or more years of demonstrated supervisory/people management experience
  • Proven project leader who is a strong planner and can manage others to success
  • Comfort using ticket management systems, cloud-based information systems, and communication systems for inter & intra office correspondences
  • Outgoing, friendly and customer service oriented. The type of person who jumps to their feet to help when someone approaches
  • Reliable, trustworthy, responsible and punctual. Someone who is on time and follows through on commitments and is quick to earn the trust and respect of others
  • High emotional intelligence; able to recognize and respond to the needs of others appropriately and with minimal supervision
  • Strong negotiator; someone who can listen, process and reconcile needs and demands, and who is comfortable with saying no and building consensus

  • Bachelor’s degree required
  • Employment is contingent upon the completion of a satisfactory fingerprinting and criminal background check, conducted by the Division of Human Resources at the New York City Department of Education
Compensation & Benefits
  • $60,000 annual salary commensurate with experience
  • Up to 100% employer funded comprehensive medical and dental coverage
  • 18 days paid annual vacation and 13 paid holidays + most iMentor functions closed between Christmas and New Year’s Day
  • 401K match up to 4%
