About iMentor


iMentor builds mentoring relationships that empower students from low-income communities to graduate high school, succeed in college, and achieve their ambitions. Students work with their mentors one-on-one, in-person and online, to develop strong personal relationships, nurture a college aspiration, navigate the college application process, and build critical skills that lead to college success. In Chicago, iMentor partners with four public schools to ensure every student in the schools receives a mentor. iMentor also provides its curriculum, technology, and best practices to help nonprofits run effective programs in the iMentor model.

iMentor Chicago programming launched in fall 2015 and has grown from 208 pairs to 1,035 in just two years. This year, iMentor is serving more than 6,800 more mentor-mentee pairs nationwide.

Position Overview
iMentor is seeking a highly motivated, organized, and meticulous individual to provide a wide range of support to the iMentor Chicago office, including operations support, scheduling, research, and special projects. As an ambassador of iMentor Chicago and the Executive Director, the Coordinator works with a diverse group of iMentor's constituents and plays a key role in enabling iMentor Chicago to operate efficiently and effectively.

The Coordinator will work collaboratively with all members of the iMentor Chicago team and will report to the Executive Director, who oversees a team of staff focused on development and fundraising, corporate and community engagement, and direct program implementation. This is an exciting opportunity to see how these teams function at a high-impact nonprofit, to learn about strategy development, and to gain insight into the landscape of education reform and college success. The ideal candidate will be outgoing, customer service oriented, and great at thinking on his or her feet, with a “can do” attitude and a keen ability to prioritize when facing multiple demands. This is a great entry-level opportunity for someone who is interested in learning more about what it takes to keep a fast-paced nonprofit running smoothly.

Responsibilities
Regional Operations Support
• Handle general phone, email and mail inquiries and respond appropriately
• Lead logistics of staff meetings, retreats and events
• Serve as liaison to iMentor national teams on a variety of operational processes and systems
• Serve as point person with national operations team in areas such as IT, facilities, and supplies
• Troubleshoot technology issues with support from national operations team
• Order supplies and manage office supply and technology inventory and budget
• Manage basic relationships with vendors and WeWork
• Coordinate operations and IT logistics for new or departure team members
• Process all regional vendor payment requests in coordination with national finance team
• Manage general regional vendor and contact information using Salesforce
• Coordinate regional submissions for bi-weekly updates

Executive Director Support
• Maintain the Executive Director’s complex schedule including day-to-day and long-term management of meetings, projects, travel and priorities
• Serve as an ambassador for iMentor, creating an excellent first impression of the organization as the first point of contact for a wide variety of high-level relationships between Executive Director and outside contacts
• Ensure Executive Director is prepared for upcoming meetings by providing daily briefings, collaborating with teammates to gather materials necessary for each meeting, and developing agendas as needed and allocating time to accomplish necessary tasks and desk work
• Coordinate logistics, execute follow-up, and manage Salesforce data for meetings
• Assist in travel planning, including researching air and ground transportation and ensuring that the ED’s travel is both cost and time efficient
• Organize and prepare materials for Advisory Board meetings
• Complete monthly credit card reporting
• Manage special projects as assigned by the ED

Program, Fundraising & Engagement Support
• Provide support at mentor orientations, pair events and fundraising events, requiring occasional evening and/or weekend events
• Complete data entry for mentor recruitment campaigns
• Manage intake and filing process for all student consent forms and mentor contracts
• Print and prepare materials for mentor orientation and pair events
• Prepare donor acknowledgement letters
• Assist with donor and other mailing campaigns
• Coordinate event logistics such as transportation, food and nametags for pair events
• As needed, send mass text reminders regarding pair communication or events

Qualifications
• A minimum of two (2) years of office experience; preference for experience in nonprofit management, higher education, legal or business fields
• Experience with Salesforce strongly preferred
• Proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting and deadline-driven environment
• Meticulous about details and follow up; subscribes to the belief that no task is too big or too small
• Extremely friendly, outgoing and customer service oriented; genuinely enthusiastic about being the public personification of iMentor for visitors or callers; doesn’t mind answering a barrage of questions
• Excellent relationship builder; able to communicate with firmness and warmth, and to demonstrate a high level of tact, discretion, humility, and diplomacy with all internal and external stakeholders
• Demonstrated ability to maintain confidential/sensitive information
• Superb communication skills (oral and written) with a confident, concise, clear and compelling style
• Skilled in all aspects of planning and project management, able to take an idea from concept to completion
• Self-directed and able to work independently; resourceful, strategic problem-solving ability with a positive attitude and a sense of humor
• Flexible and adaptable; open to change, learning, and improvement

• A minimum of an Associate's Degree or higher required
• Employment is contingent upon the completion of a satisfactory fingerprinting and criminal background check

Compensation & Benefits
• Non-exempt (hourly); commensurate with experience
• Up to 100% employer funded comprehensive medical and dental coverage
• 18 days paid annual vacation and 13 paid holidays + most iMentor functions closed between Christmas and New Year’s Day
• 401K match up to 4%
