About iMentor

iMentor builds mentoring relationships that empower students in low-income communities to graduate high school, succeed in college, and achieve their ambitions. Students work with their mentors one-on-one, in-person and online, to develop strong personal relationships, nurture a college aspiration, navigate the college application process, and build critical skills that lead to college success. In New York City, iMentor partners with public schools to ensure every student in the schools receives a mentor. iMentor also provides its curriculum, technology, and best practices to help nonprofits run effective programs in the iMentor model.

Position Overview
iMentor is seeking a Program Operations Coordinator (OC) to support day-to-day event operations and logistics for iMentor’s Program in NYC. Reporting to the Program Operations Manager (OM), the OC will be responsible for overseeing request systems for event supplies and maintaining vendor information along with the department events calendar. The OC will join a full operations team, ensuring quality program implementation and support for all logistical aspects of iMentor NYC’s program events. They will support event staffing on a weekly basis, ensuring that iMentor events are properly staffed with adequate support for mentor-mentee pairs. They will also support the OM in maintaining fiscal responsibility by handling expense reporting and tracking for the NYC Program team.

The OC will have at least one year of operations experience with a strong orientation toward customer service and support. They will have an eye for detail and excellent organization skills, with the ability to problem solve in a timely manner. In supporting the program, the OC will be able to build strong relationships with direct-service professionals and adjust systems as necessary to deliver high quality events for mentor-mentee pairs across multiple partner schools.

Responsibilities
Event Coordination and Logistical Support
• Oversee inventory and distribution systems for event supplies and event curriculum materials
• Support food purchasing for monthly events across multiple partner sites and manage food service logistics, including setup and distribution
• Maintain accurate vendor resource tracking by performing day-to-day maintenance of vendor information, pricing information and purchase records
• Staff and support 1-2 events per week Monday-Thursday; occasional weekend staffing may be required
• Work with OM to manage events calendar, scheduling tools and dissemination of important calendar updates
• Communicate event-related survey deadlines and staffing schedules to support team and leadership team
• Support OM in coordinating external events and maintaining database of venue contacts and prospective event sites
• Collect budget information, receipts, invoices and generate vendor reports for all school-based events to ensure fiscal responsibility

Cross-Team and Organizational Collaboration
• Support iMentor organization-wide initiatives, requiring occasional evening and/or weekend events
• Participate in team meetings to evaluate individual and program progress towards goals to identify trends and gaps in program delivery
• Participate in on-going trainings on curriculum content and best practices in pair support
• Ongoing one-on-one training and support of Program Managers
• Support all aspects of program implementation and improvement and iMentor’s overall mission
• Collaborate across departments to create and manage comprehensive program delivery

Qualifications
A minimum of one (1) or more years of operations support experience
•Strong customer service orientation with a demonstrated ability to work with a wide variety of individuals from diverse backgrounds
• Proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting with exceptional attention to detail
• Superb communication skills (oral and written) with a confident, concise, clear and compelling style
• Resourceful, strategic problem-solving ability with a positive “can do” attitude
• Quick learner and hard worker; able to work independently, to thrive under pressure and to produce on deadline
• Excellent relationship builder; able to demonstrate a high level of tact, discretion, humility, and diplomacy with all internal and external stakeholders.
• Must also demonstrate ability to maintain confidential/sensitive information
• Demonstrated ability to work in a collaborative team environment
• Hungry to learn about nonprofit operations and administration
• Public speaking experience is a plus; must display confidence, poise and charisma
• Comfort with technology, preference for skills in Excel, and proficiency in typing

• Employment is contingent upon the completion of a satisfactory fingerprinting and criminal background check, conducted by the Division of Human Resources at the New York City Department of Education
