iMentor builds mentoring relationships that empower students in low-income communities to graduate high school, succeed in college, and achieve their ambitions. Students work with their mentors one-on-one, in-person and online, to develop strong personal relationships, nurture a college aspiration, navigate the college application process, and build critical skills that lead to college success. Position Overview
iMentor is seeking an Operations Coordinator that will support the logistics of iMentor's program across approximately fifteen high schools in New York City. Reporting directly to the Sr. Operations Manager, the coordinator maintains systems and executes projects that contribute to compliance work in the region including the management of program consent forms. The Coordinator will work closely with Program staff who teach iMentor classes and facilitate iMentor events and will also handle baseline pair support by compiling and distributing a high-quality mentor monthly newsletter. The OC will provide occasional support of events via staffing and supply ordering and administrative support by distributing tools such as trackers for Program staff to organize their work, playing a key role in the tactical support available to Program staff within the organization, and will provide administrative support to other regional departments.

The ideal candidate will have demonstrated experience in nonprofit administration or operations. The Coordinator will be successful in providing exceptional customer service, coordinating large projects and events, and will have the ability to connect with and motivate individuals of all ages and backgrounds.

Responsibilities 
Event Coordination and Logistical Support
  • Oversee inventory and distribution systems for event supplies and event curriculum materials
  • Support food purchasing for monthly events across multiple partner sites and manage food service logistics, including setup and distribution 
  • Work with Sr. Operations Manager (SOM) to manage events calendar, scheduling tools and dissemination of important calendar updates 
  • Staff at least two to three program events per month
  • Support SOM in communicating with and scheduling staff volunteers for monthly program events
  • Communicate event-related survey deadlines and staffing schedules to support team and leadership team 
  • Collect budget information, receipts, invoices and generate vendor reports for all school-based events to ensure fiscal responsibility
  • Support iMentor organization-wide initiatives, requiring occasional evening and/or weekend events

Communication & Tracking
  • Ensuring program team compliance with NYC and organization-wide systems and policies
  • Assisting with key internal and external communications, including management of customer service ticketing system and assigning tickets to appropriate team members to ensure Program needs are met
  • Handling additional messaging to mentors as needed, including inviting mentors and mentees to surveys by utilizing iMentor's Platform (web platform for pairs to communicate, access the iMentor curriculum, and receive upcoming event information)

Data Quality Assessment
  • Serve as the super-user for iMentor’s internal platform on the Program Team.  This includes supporting Program Managers with utilizing the Platform, scheduling monthly events and indicating program permission form completion
  • Supporting site start-up by leading collecting forms, overseeing & cleaning trackers and ensuring mentee enrollment information accurately reflects students who can be matched with mentors
  • Handling all Platform data audits, including ensuring pair meetings are logged correctly and all consent forms are indicated correctly
  • Working with Director of Risk and Compliance to pull relevant data around safety

Qualifications
  • A minimum of 1-3 years’ experience in operations, administration, or education setting
  • Proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting with excellent attention to detail
  • Comfort with technology, with a preference for skills in Excel; experience in Salesforce and/or Zendesk a plus; ability to become comfortable using new technologies (ie. the Platform)
  • Superb communication skills (oral and written) with a confident, concise, clear and compelling style
  • Quick learner and hard worker; able to work independently, to thrive under pressure and to produce on deadline
  • Excellent relationship builder; able to demonstrate a high level of tact, discretion, humility, and diplomacy with all internal and external stakeholders.
  • Must also demonstrate ability to maintain confidential/sensitive information
  • Demonstrated ability to work in a collaborative team environment
  • Demonstrated alignment with iMentor's mission, values, and commitment to diversity, equity, and inclusion.

  • Bachelor’s degree required
