iMentor builds mentoring relationships that empower students in low-income communities to graduate high school, succeed in college, and achieve their ambitions. Students work with their mentors one-on-one, in-person and online, to develop strong personal relationships, nurture a college aspiration, navigate the college application process, and build critical skills that lead to college success. Position Overview
iMentor is seeking a meticulous, tactful and seasoned operations professional as its next Program Operations Manager (POM). Reporting directly to the Senior Director of Program (SDP), the POM will manage and coordinate all logistical aspects of events and operations, including oversight of event staffing, venue and vendor selection, contract negotiation, database management, and monitoring all expenses associated with NYC Program events. This role will be responsible for streamlining the operations and processes supporting event execution, managing one full-time coordinator and a team of part-time Events Assistants/Event Staff, while working collaboratively to position events as vehicles for increasing mentors-mentee pairs to drive college success outcomes. The POM will also act as a primary operations liaison for NYC to ensure streamlined workflow, manage a team-wide calendar, and help the SDP operationalize programmatic initiatives.

The ideal candidate will have exceptional customer service orientation, be resourceful and results-oriented, and a detailed project manager who can balance both event strategy to continuously enhance event quality and consistency. They will have the ability to motivate and inspire a large team of professionals and a demonstrated skill-set in managing people to desired outcomes.

Responsibilities 
NYC Program Team Operations 
  • In collaboration with Sr. Director of Program (SDP), create and oversee annual operations budget, tracking all program expenditures, creating and managing a Program Implementation Team (PLT) annual calendar and supporting the SDP’s weekly calendar
  • Collaborate with SDP to plan retreats, employee experience initiatives specific to NYC Program staff and meet weekly as a part of PLT plan monthly all-program meetings 
  • Strategize with PLT to increase monthly event offerings to increase pair participation (i.e. events on location, group expeditions and partnerships with local area cultural institutions)
  • Draft and send regular team communications, lead ongoing operations trainings for a team of 30 program managers (i.e mail merges, quarterly trackers, survey trackers, etc.)
  • Serve as the primary liaison to the communications team for photography, printing, and media needs 
  • Partner with Program Implementation Leaders (PILs) and Talent Team to coordinate and schedule internal Program Manager interviews

NYC Event Management 
  • Create, schedule and manage master Program Events calendar in support of PILs
  • Work alongside Program Managers to verify event RSVP’s and orders food and supplies for each pair event
  • Collaborate with Special Assistant to manage event assignments for iMentor staff volunteers based in NYC
  • Coordinate with National Operations team and building management to ensure entry and security measures of iMentor’s Offices for on-site events
  • Conduct event pilots to support the NYC Program regional model and outcomes
  • Work alongside PLT, coordinate school and event visits with prospective school leaders, volunteers and beyond.
  • Staff and support 2-3 events per month Monday-Friday; occasional weekend staffing may be required

Event Team Management
  • Hire, onboard, train and manage a 7-person part-time Event Assistant team 
  • Create and manage a weekly calendar of shift assignments for all Event Assistants
  • Manage a full-time Program Operations Coordinator who manages annual program consent forms, tracks and audits program compliance on an internal platform
  • Performance management and professional development of Event Assistant team and Program Operations Coordinator
  • Facilitate Event Assistant Team meetings and ongoing training

Qualifications
  • At least five (5) years of experience with a focus on operations, program coordination, and/or part-time staff management experience with prior experience working with high school students and college students or in a youth education environment a plus 
  • Enthusiastic and motivating strong leader committed to developing their staff  
  • Demonstrated ability and/or experience to manage a large team 
  • Strong critical thinking skills with the ability to analyze data, recognize trends, and drive strategic recommendations
  • Exceptional project management, prioritization, and planning skills, with demonstrated success producing high-quality deliverables on time and within budget, with outstanding attention to detail and accuracy
  • Strong negotiation, problem solving and relationship building skills
  • Ability to proactively identify needs, implement strategy and execute multi-faceted processes in a team-driven context
  • Proven track record in leading successful collaborations across various stakeholder groups
  • The ability make quick and well-informed decisions; knows when to follow-up and make necessary adjustments 
  • Demonstrated alignment with iMentor's mission, values, and commitment to diversity, equity, and inclusion

  • Bachelor’s degree required
