Job Overview:
The Cash Posting Specialist is responsible for the accurate and timely posting of insurance and patient payments for assigned infusion clients across Ambulatory Infusion Centers (AIC), Specialty Pharmacy (SP), and Home Infusion services. This position plays a critical role in ensuring revenue cycle integrity by accurately posting payments, contractual adjustments, denials, recoupments, refunds, and other payment transactions while identifying reimbursement discrepancies that require further review.
The Cash Posting Specialist works closely with billing, accounts receivable, denial management, and client teams to ensure accurate account reconciliation and timely resolution of payment variances.
Responsibilities:
Your key responsibilities will include:
- Payment Posting
- Post insurance payments, patient payments, EFTs, checks, lockbox payments, and credit card transactions accurately and timely.
- Review Explanation of Benefits (EOBs), Electronic Remittance Advice (ERAs), and payer remittance files.
- Post payments according to payer reimbursement and contractual guidelines.
- Accurately enter contractual adjustments, write-offs, coinsurance, deductibles, copays, and patient responsibility amounts.
- Ensure all posted transactions balance to remittance documentation.
- Electronic Remittance Processing
- Review and process ERA files received from clearinghouses and payers.
- Identify and resolve ERA posting exceptions.
- Reconcile electronic payments to posted transactions.
- Monitor electronic payment enrollments and remittance receipt issues.
- Coordinate with payers and clearinghouses to resolve ERA discrepancies.
- Denial & Variance Identification
- Identify claim denials, underpayments, overpayments, recoupments, and payment discrepancies during posting.
- Assign accounts to appropriate work queues for follow-up and resolution.
- Flag reimbursement trends and payer issues for management review.
- Ensure denial codes and adjustment reason codes are entered accurately.
- Escalate recurring payer issues and reimbursement concerns.
- Reconciliation & Balancing
- Reconcile daily deposits and payment batches.
- Verify posted payments match bank deposits and remittance totals.
- Balance payment posting batches within established accuracy standards.
- Assist with month-end reconciliation processes.
- Research and resolve unapplied or unidentified payments.
- Refund & Credit Balance Management
- Identify credit balances and overpayments.
- Assist with refund request processing and documentation.
- Maintain records supporting refund activity.
- Monitor payer recoupments and offset transactions.
- Coordinate with AR and management teams regarding refund approvals.
- Specialty Pharmacy Payment Posting
- Post specialty pharmacy claim payments and adjustments.
- Review pharmacy remittance information for payment accuracy.
- Identify pharmacy reimbursement variances and adjudication issues.
- Assist with reconciliation of pharmacy claim payments.
- Home Infusion Payment Posting
- Post payments associated with home infusion nursing, drug, supply, and administration services.
- Review payer reimbursement accuracy for home infusion services.
- Identify underpayments and discrepancies requiring follow-up.
- Quality Assurance
- Maintain high levels of posting accuracy and productivity.
- Conduct self-audits to ensure compliance with posting procedures.
- Follow client-specific payment posting guidelines.
- Participate in quality reviews and training activities.
- Maintain detailed documentation of posting activities.
- Client & Team Collaboration
- Work closely with billing and AR teams to resolve payment-related issues.
- Communicate reimbursement concerns to assigned RCM teams.
- Support client inquiries related to payment posting and account balances.
- Assist with special projects and client reporting requests.
- Compliance
- Maintain compliance with HIPAA and all applicable regulations.
- Follow payer-specific reimbursement and adjustment guidelines.
- Protect patient and client confidentiality.
- Adhere to company policies and standard operating procedures.
Qualifications:
To excel in this role, you should possess the following qualifications:
- Minimum 1-2 years of healthcare payment posting experience preferred.
- Experience with infusion services, specialty pharmacy, home infusion, physician billing, or hospital outpatient billing preferred.
- Experience working with EOBs, ERAs, EFTs, and payment reconciliation preferred.
- Understanding of medical billing and reimbursement processes.
- Knowledge of insurance payment posting and contractual adjustments.
- Familiarity with CARC and RARC denial codes.
- Understanding of Medicare, Medicaid, and commercial payer remittances.
- Strong data entry and reconciliation skills.
- Excellent attention to detail and accuracy.
- Ability to identify payment trends and discrepancies.
- Proficiency in Microsoft Excel and billing software systems.
Education:
High School Diploma or GED required.
