Job Summary:
The Program Administrator is responsible for coordinating and independently managing key administrative and operational functions of assigned programs and initiatives. This role exercises discretion and independent judgment in prioritizing work, resolving operational issues, interpreting program requirements, and recommending process improvements to support organizational effectiveness and compliance.
The Program Administrator partners closely with leadership, staff, vendors, and external stakeholders to manage workflows, maintain operational continuity, and support successful program execution. This role serves as a key operational resource by analyzing information, coordinating competing priorities, and ensuring administrative processes remain efficient, accurate, and aligned with organizational objectives.
Key Responsibilities:

Independently manage and coordinate administrative and operational functions for assigned programs and initiatives

Monitor and manage program timelines, deliverables, and competing priorities, adjusting workflows as needed to meet organizational objectives

Coordinate meetings, calendars, agendas, materials, and follow-up actions across multiple stakeholders and departments

Maintain and oversee accurate program files, databases, records, and operational documentation

Analyze program data and prepare reports, summaries, presentations, and correspondence for leadership review and decision-making

Review and validate budget tracking, invoices, purchase requests, and expense documentation; identify discrepancies and recommend corrective action when appropriate

Serve as a primary point of contact for internal and external stakeholders, providing guidance on processes, and requirements

Interpret and apply organizational policies, procedures, and program requirements to ensure compliance and consistency

Lead onboarding coordination, training scheduling, and staff or participant communications related to assigned programs

Develop, implement, and recommend improvements to administrative processes, workflows, and operational efficiencies

Collect, organize, and analyze information for audits, evaluations, compliance reviews, and program reporting activities

Exercise independent judgment in resolving routine operational and administrative issues, escalating matters when appropriate

Support strategic initiatives, special projects, and additional operational responsibilities as assigned
Qualifications:

Strong organizational and time management skills

Excellent written and verbal communication skills

Proficiency in Microsoft Office Suite and other office or database systems

Ability to manage multiple priorities with attention to detail

Strong problem-solving and customer service skills

Ability to handle sensitive information with professionalism and confidentiality.
Education: Associate or bachelor’s degree in business administration, public administration, education, or a related field preferred
Experience: 2 to 5 years of administrative, program coordination, or office management experience
Preferred Skills

Experience supporting cross-functional programs or projects

Knowledge of budgeting, reporting, and records management

Familiarity with compliance, education, or government program administration, depending on industry

Experience with spreadsheets, reporting tools, and document management systems.
Work Environment:
Full time, exempt position.
We offer options for a remote/hybrid work environment, with the expectation that team members maintain availability during core business hours of 8:00 AM – 5:00 PM HST. Our headquarters are located in Honolulu, Hawaii, and collaboration is centered around this time zone. Relocation is not offered for this position.
