Job Description

The Operations Coordinator is a floor‑facing execution role responsible for keeping warehouse and production operations moving smoothly day to day. This position bridges the gap between the production floor, warehouse execution, and operations leadership by coordinating work across teams, resolving issues in real time, and ensuring materials and information flow correctly so orders ship on time.

 

This is a hands‑on role in a small, scaling manufacturing environment. The Operations Coordinator spends significant time on the floor verifying inventory accuracy, addressing shortages or disruptions as they occur, and driving follow‑through when priorities shift. Success in this role requires comfort working in motion, engaging directly with people, and solving problems as they happen, not waiting for reports to surface them.

 

Key Responsibilities

 

Floor Coordination & Inventory Integrity

  • Own the physical accuracy of inventory across raw materials, work‑in‑process, and finished goods through regular floor presence, location verification, and count validation.
  • Execute the physical side of cycle counts, including counts, location audits, and shelf‑level discrepancy investigation, while partnering with the Inventory Data & Process Analyst on system corrections.
  • Ensure accurate execution of receiving, transfers, picks, shipments, and returns at the point of physical activity.
  • Monitor material flow between receiving, storage, staging, and production to ensure correct placement, accessibility, and uninterrupted production.
  • Proactively identify inventory risks, shortages, or execution gaps and address them before they impact builds or shipments.

Cross‑Functional Coordination & Disruption Management

  • Serve as the primary daily coordination point between Warehouse, Production, and Production Support for execution issues such as shortages, staging gaps, order changes, or priority shifts.
  • Maintain and actively manage a daily exception list, personally driving issues to resolution rather than escalating passively.
  • Coordinate with Purchasing on inbound material issues and with Production Support on kit readiness and staging.
  • Reinforce process discipline through direct, constructive communication and hands‑on coaching on the floor.
  • Provide concise, actionable updates to Operations leadership on inventory health, risks, and resolution status.

Sales Administration & Operational Triage

  • Act as the operational point of contact when Sales Administration, Customer Success, or Marketing requests require warehouse or floor execution (RMAs, marketing transfers, samples/demos).
  • Own international shipping coordination, including documentation, carrier communication, customs requirements, and timeline management.
  • Triage competing cross‑functional requests, set priorities, communicate status clearly, and ensure follow‑through.

Process Discipline & Continuous Improvement

  • Track and maintain simple inventory and fulfillment KPIs (inventory accuracy, cycle count completion, variance drivers, inventory‑related delays).
  • Partner with the Inventory Data & Process Analyst and Operations leadership to strengthen SOPs, standard work, and training.
  • Identify recurring execution or inventory friction points and recommend practical, floor‑informed improvements.

 

Required Qualifications and Skills

Education: Bachelor’s degree in Supply Chain, Business Administration, or relevant experience in lieu of degree.

Experience: 3–5+ years in warehouse operations, fulfillment, light manufacturing, or production support environments. Demonstrated experience working on the floor, not solely in systems or reports. Prior responsibility coordinating across warehouse, production, purchasing, and customer-facing teams.

Skills and Approach to Work:

  • Strong understanding of inventory processes including receiving, picking, staging, shipping, returns, and material transfers
  • Working knowledge of ERP/WMS systems; Fishbowl experience preferred but not required
  • Intermediate Excel skills for basic tracking and reporting
  • Calm and effective under pressure in fastmoving, ambiguous environments
  • Clear, direct communicator who can give feedback, push back when needed, and keep stakeholders informed
  • Actionoriented with strong followthrough; comfortable making decisions at the point of execution
  • Builds trust through consistency, competence, and presence on the floor rather than title

Physical Demands

The employee is regularly required to stand, walk, and use hands and arms to perform assembly and fulfillment tasks. The role occasionally requires lifting and/or moving up to 40 pounds (e.g., moving parts from storage and transporting materials into the work area).
