About The Role: The Event Coordinator is responsible for completing final plannings of all events and day of preparation and execution of event functions at both the Ledger and Record Event Spaces in Downtown Bentonville. These functions include providing direction to Ledger and Record event contract staff, elevating guest experience, ensuring safety and compliance of each event, and general bar & event administration.
While primarily based at Ledger, this position will also support events across other properties as needed. The Event Coordinator is a salaried exempt position and must be available to work evenings, nights and weekends.

- Assist managers with projects, planning, timelines and details
- Assist managers with sales-related tasks such as walkthroughs, proposal prep, and maintaining communication with clients regarding event details.
- Create and maintain load in & out checklists for clients and their vendors and ensure they are followed.
- Maintain cleanliness and sanitation of the bar and event space, including restrooms when necessary.
- Ensure proper security procedures are in place to protect employees, guests and company assets.
- Ensure a safe working and guest environment to reduce the risk of injury and accidents. Complete accident reports promptly if a guest or event staff is injured.
- Participate in client meetings, pre-event briefings, and internal planning sessions as required.
- Complies with federal, state and local health and sanitation regulations and company sanitation procedures as evidenced through local health department and third-party audits.
- Self-manages. Follows attendance policy, adheres to dress code, is proactive in accomplishing duties, adheres to Company policies and procedures.
- Support other venues and events and all other duties as assigned.
- 2-3 years of event coordination or management required.
- Strong attention to detail and a commitment to excellent customer service and hospitality.
- Previous experience working with floorplan software and project/event management tools.
- Experience working with food and beverage teams, A/V techs, or external vendors is a plus.
- Prior exposure to multi-use or high-capacity venues is preferred.
- Excellent communication and multitasking skills.
- Basic mathematical skills
Work Environment:
High volume environment with loud noise levels, hot and cold areas, occasional wet floors, various odors and interaction with a range of food products including allergens.
