The Blue Crane AP Specialist & Office Coordinator is responsible for ensuring smooth day-to-day operations within the office while supporting the full accounts payable cycle. In this role, you will support Blue Crane departments by managing various office and administrative tasks, handling invoice processing, vendor relationships, and payment schedules.

Job Responsibilities

Accounts Payable

  • Invoice Processing: Receive, review, and enter vendor invoices into the accounting system, ensuring accurate coding, approvals, and timely submission for payment.
  • Reconciliation & Reporting: Reconcile vendor statements, resolve discrepancies, and prepare regular AP reports for internal review. Prepare monthly journal entries as needed
  • Vendor Relationship Management: Maintain positive relationships with vendors, handling inquiries, payment follow-ups, and dispute resolution.
  • Payment Scheduling: Collaborate with the Accounting & Finance team to ensure invoices are paid according to approved schedules, balancing cash flow and vendor requirements.
  • Compliance & Documentation: Adhere to Company policies and accounting standards, ensuring compliance with relevant regulations and audit requirements.
  • Month End Closing: Support team members with Month/Quarter/Year End closing tasks and assist in preparation of financial statements and related schedules.

 

Office Coordination

  • Office Support & Guest Relations: Serve as the first point of contact for visitors, vendors, and associates—answer incoming inquiries, greet guests, and direct information appropriately.
  • Administrative Tasks: Maintain office & kitchen supply inventories, coordinate shipping and mail distribution, and ensure the office environment is organized and presentable.
  • Meeting & Event Coordination: Schedule and organize internal & external meetings, oversee conference room management, arrange office equipment, and handle refreshments or catering when required.
  • Vendor & Equipment Coordination: Liaise with office service providers (e.g., cleaning/maintenance services, office equipment vendors) and troubleshoot minor IT or facility-related issues in collaboration with relevant support teams.

 

Other Responsibilities

  • Assist in planning and coordination of holiday parties, team happy hours, off-site meeting or retreats and outings.
  • Perform other duties as required and necessary.

 

Who We Need

Qualifications required for your success:

  • Minimum 3 years of Accounts Payable experience required; at least 1 year in an office support or administrative role in a dynamic team environment preferred.
  • Bachelor’s degree in accounting, finance or related field a plus.
  • Comfortable learning various different online platforms (Maintenance, Accounting, Room Management, etc.); Well-versed in Word, Excel, PowerPoint, Outlook; Conferencing tools (e.g., Zoom, Microsoft Teams).
  • Excellent written and verbal communication skills; ability to build rapport with a diverse group of stakeholders.
  • Demonstrated ability to prioritize, multitask, and manage time effectively.
  • Proactive approach to identifying and resolving issues before they escalate.
  • Willingness to work collaboratively across multiple departments and adapt to shifting priorities.
