Airlink is a Washington, DC-based nonprofit humanitarian logistics organization that connects airlines with vetted nonprofits to deliver disaster responders and supplies to communities in crisis worldwide. Airlink and its airline partners have transported over 15,000 passengers and 8,100 tons of cargo in support of a broad range of humanitarian initiatives that have provided aid to more than 75 million people. Airlink has saved our NGO partners more than $57,000,000 in transport costs. 

Position Summary:

Reporting to the Director of Operations, the Operations & Events Associate supports Airlink's day-to-day administrative, operational, and event management functions to ensure efficient and effective business operations. Working closely with the Director and VP of Finance & Operations, this position provides cross-functional operational support and serves as a central point of coordination for staff, consultants, vendors, and external partners. 

Due to the nature of Airlink's mission in support of disaster response, there will occasionally be an expectation to work extended hours or on weekends and holidays, with limited advance notice. 

Primary Responsibilities: 

Operations & Office Management  

  • Support day-to-day organizational operations and administrative functions  

  • Monitor the office phone and e-mail inbox, directing correspondence to relevant staff 

  • Coordinate office operations, supplies, equipment, and facilities needs  

  • Maintain organizational systems, records, and document management processes  

  • Assist with vendor coordination, procurement, and invoice/payment tracking  

  • Help the Director of Operations maintain operational policies, procedures, and workflows  

  • Track organizational subscriptions, contracts, and renewals  

  • Support data entry, reporting, and administrative compliance activities  

  • Assist with onboarding logistics and staff operational support  

Event Planning 

  • Support logistics for Airlink hosted events, including ted events, including team retreat, board meeting(s), holiday reception, regional logistics trainings, regional logistics trainings, and Global Partner Forum, including: 

  • Manage guest invitations, registration, guest communication, and attendee tracking  

  • Support the Director of Operations with venue, caterer, audiovisual vendor, and event partner management 

  • Process invoices, and support expense reconciliation  

  • Provide onsite event setup support and manage guest registration  

Communications & Coordination 

  • Serve as a point of contact for internal and external operational inquiries  

  • Support cross-functional coordination among staff, consultants, and partners  

  • Support scheduling, meeting coordination, post-meeting due outs for finance & operations team, relevant board committees, and all-staff meetings 

  • Provide ad hoc travel booking support to the Executive Affairs and Humanitarian Programs Associates  

Qualifications & Experience:

  • Bachelor's degree or relevant work experience and High School diploma.  
  • Minimum 2 years of operations experience, preferably in nonprofit organizations 
  • Knowledge of nonprofit operations, administration, and compliance practices 

  • Excellent project management, organizational, and prioritization skills, with strong attention to detail 

  • Proven ability to manage multiple priorities and deadlines in a fast-paced environment 

  • Strong interpersonal and communication skills, with the ability to collaborate effectively across teams and stakeholders 

  • Proficiency with office productivity and operational systems, including Microsoft 365, SharePoint, and Salesforce preferred 

  • Service-oriented mindset with a proactive, collaborative approach and enthusiasm for supporting teams and new initiatives 

Location:  
Airlink is headquartered in downtown Washington, D.C. and operates a hybrid work schedule with the team in-office three days a week. Given the collaborative nature of this position, we are only considering candidates who are in or willing to relocate to the Washington, D.C. area.  
 
Compensation & Benefits:  
The salary range for this position is $55,000 to $70,000. Additionally, Airlink provides a comprehensive benefits package including, but not limited to:
