As a member of the Finance team, you will support the Director of Finance with AP, AR and time/finance-related tasks. You will build on your basic understanding of accounting and finance, seeking to take on increasingly more responsibility related to accounting data entry, auditing and analysis of financial tasks and reporting.

 

This is an associate-level position, which emphasizes flawless execution and provides exposure to aspects of accounting including account payable, accounts receivable, time/task-based finance, media reconciliation, and more.

RESPONSIBILITIES / WHAT YOU’LL DO

 

Accounting: 

  • Vendor Setup and support. Collect vendor information including W-9 forms. Enter Vendors into Quickbooks.
  •        Accounts Payable – including checking AP invoices against our POs for accuracy, entering AP invoices into Quickbooks, working with Finance Director to process payables.
  •        Accounts Receivable / Client Billing mid-month and/or end of month– understanding company forecast methods and notes in order to draft client invoices, referencing client Purchase Orders where appropriate, submit invoices to account service team members for review, submitting approved AR invoices to our clients via various methods (a) through our account contacts, (b) emailed to clients Accounting contacts, (c) uploading into procurement systems where relevant (SAP, Ariba, etc.)
  •       Issue of PO’s for vendors such as media vendors, printers, etc.
  •       Verify time report entry for all billable team members is entered daily in Teamwork. Follow-up with staff members to ensure past due time is entered in a timely fashion.
  •       Assist with Collections calls and/or emails where necessary for clients whose invoices are past due.
  •       Assist with End-of-Month and End-of-Year activities, audits, data entry, reporting.
  •       Support employee reimbursements and expense documentation.
  •       Support employee travel bookings as needed for out of state employees traveling to Atlanta
  •       Support with audit activities including client work-off monitoring

 

General Office: 

  •       Keep track of company records and documents
  •       Bulk Filing
  •       Maintain Office Supplies

 

Systems Skills:

  

  •        Working knowledge of Quickbooks software.
  •         Must have experience with Excel, Pivot tables and VLookup.

 

Other: 

  •        Prep new employee files/onboarding checklist to assist in onboarding process
  •         Work with and maintain the confidentiality of personnel records/information
  •         Manage/coordinate company provided office lunches as well as client lunches (when appropriate)
  •        Assist in holiday party planning
  •        Assist, as needed, in DoGooder or DoWeller planning.
