Job Title: Associate Director, Special Events
Position Summary:
Reporting to the Senior Associate Director (SAD) of Special Events, the Associate Director (AD) of Special Events will play a vital role in contributing to the high-quality production and fundraising efforts of the Foundation’s signature events program. The successful candidate must be a self-starter with incredible attention to detail and a strong interest in fundraising. It will be important for this individual to have, a positive disposition, excellent written, verbal interpersonal communication, time management, and organizational skills, a comfort with data and analytics, decision-making deftness, and the ability to problem-solve in a dynamic and fast-paced environment.
The Associate Director must also possess an innate sense of curiosity and urgency. Equally important is the ability to work independently and within a team and be able to contribute to a collaborative working environment. The position will be expected to have a hybrid flex work schedule with at least part-time in the MJFF office in midtown New York City. Occasional travel, weekend work, and work outside of traditional business hours is required.
Primary Duties & Responsibilities:
- Partner with the VP of Advancement, VP Events & Engagement, SAD of Special Events, and other AD of Special Events team on strategy, development and execution of all aspects of event production, including securing collateral, vendor negotiations, contracting, budgeting, event ticket purchases, program creation, website development, gift bag solicitation/procurement, and on-site event management.
- Oversee and manage collateral process in a timely manner (internal routing, and collaborate with SAD, Special Events by providing creative direction to graphic designers and Marketing and Communications (MarComms) team).
- Serve as a key contributor to the Foundation’s project management process, including all areas of partnership between the Special Events, Donor Operations and MarComms.
- Partner with SAD of Special events in event communication and update reporting to Foundation leadership, Board of Directors, event chairs and other high-profile stakeholders.
- Manage, compile and update invite mailing list reviews for Board, Leadership, and Advancement teams.
- Communicate with attendees and donors to collect appropriate details include guest information.
- Provide leadership to Foundation staff volunteering at signature events (pre-event staff briefing meeting, check-in, gift bag distribution, prize table, coordinating prizes for event winners, etc.)
- Coordinate and execute travel planning and itineraries for VIPs attending events.
- Occasional travel, weekend work, and work outside of traditional business hours is required.
Qualifications and Skills:
- Minimum of 4+ years of experience as lead on event logistics, execution, and stakeholder engagement for special events.
- Excellent computer skills including database management, Word, Excel, and PowerPoint.
- Excellent interpersonal written and verbal communication skills.
- Experience and comfort working with data, numbers, and analytics for special event and fundraising purposes.
- Ability to take initiative and be hands-on with all aspects of event preparations and logistics.
Salary and Benefits:
