Job Title: Executive Assistant, Office of the CEO
Position Summary: The Michael J. Fox Foundation for Parkinson’s Research (MJFF) is seeking a proactive, multitasking, and detailed-oriented professional to serve as an Executive Assistant to the CEO. This role will report to the CEO and Chief of Staff to manage email inbox, calendar, travel arrangements (domestic/international, personal/business), logistics for the Board of Directors, and general administrative & project management support as needed. The ideal candidate is one who has a positive attitude, works well with others, strives for sustained excellence and efficiency, and thrives in a busy, fast-paced environment.
Primary Duties & Responsibilities:
- Proactively manage all daily scheduling on behalf of the CEO, including business meetings, professional event attendance, and appointments to keep CEO on track.
- Coordinate appointments with key stakeholders, set up and track meetings, and prepare materials and appropriate follow-up daily.
- Proactively identify and implement solutions to enhance the CEO’s daily and ongoing operations and effectiveness.
- Manage and prioritize email correspondence and issues to be addressed, tasks to close, and communicate progress/status.
- Support ad hoc tasks, such as assistance with presentation preparation, organization of teambuilding events, due diligence projects.
- Plan and coordinate all CEO travel and business expenses.
- Provide support to the Chief of Staff and executive team in managing activities and operations of the Board of Directors (communications, meeting prep, scheduling, agendas and materials, logistics, etc.)
- Information management: data entry and customized querying/reporting as needed, with a particular focus on Customer Relationship Management (CRM) via Salesforce.
- Provide ad hoc assistance, including calendar and scheduling support, to other leadership team members at the discretion of the CEO.
Qualifications and Skills:
- 3+ years of relevant experience in an Executive Assistant or similar role
- Prior expertise in executive-level organizational and task management supporting C-level executives.
- Effective verbal and written communication and collaboration skills, including strong proficiency with MS Office 365 Suite tools.
- Exceptional attention to detail and time management skills.
- Demonstrate significant ability for discretion and confidentiality in the handling of sensitive issues, with strong problem-solving skills.
- Task-oriented with an excellent sense of proactivity, priority, logic, and objectivity.
- Experience with Salesforce CRM and non-profit Board management a plus.
Salary and Benefits:
The salary range for this position is $85k - $105k. In addition to salary, The Michael J. Fox Foundation for Parkinson’s Research (MJFF) offers a comprehensive benefits package, including:
